The Member Service Specialist provides customer service to International Society to Advance Alzheimer's Research and Treatment (ISTAART) members and administrative support to the department. In particular, virtually all functions relate to providing support to the Professional Interest Area program within ISTAART.
This position will be located in Chicago, IL and reports to the Director, Scientific Programs & Outreach with dotted line responsibilities to the Project Manager, Medical and Scientific Relations, Senior Director, Medical and Scientific Operations, Director, Global Science initiatives and Director, Membership and Conference Programming.
Day-to-day Professional Interest Area (PIA) support
Work with Med Sci Directors, Project Manager, and volunteer PIA leaders to achieve the following:
- Schedule and attend teleconferences
- Solicit and draft meeting agendas
- Draft meeting summaries
- Track progress toward PIAs' annual objectives
- Coordinate PIA communications (emails to members, newsletters, etc.)
- Coordinate elections for new PIA officers
- Answer general PIA-related inquiries via phone or email
- Coordinate updates to PIAs' websites
- Moderate PIA-related social media groups
- Provide information to PIAs as requested (e.g., member surveys, updated rosters, minutes of prior meetings, reports, etc.)
Conference-related PIA support
Work with Med Sci Directors, Project Manager, volunteer PIA leaders, and Director of Membership and Conference Services to achieve the following:
- General PIA work for Alzheimer's Association International Conference (AAIC)
- Assist in preparation of PIA Annual Reports
- Assist in preparation of PIA Business Meeting agendas
- Assist in drafting of PIA Business Meeting minutes
- Coordinate planning of PIA Day scientific sessions
- Coordinate nominations and selection of recipients for various PIA-related awards that are presented at AAIC
- Assist with general logistics for PIA-related events and processes for AAIC
- Requires travel to AAIC location every July (location varies, and is sometimes international)
- Work related to AAIC preconference events
- Assist with programming events and processes, as well as registration fellowships, related to two full-day preconference's run by PIAs
- Assist with logistical processes for 3-4 full-day Educational Workshops held by PIAs
- Provide administrative support for occasional meetings held by PIAs at other conferences (e.g., SfN).
- Three or more years of experience working in associations or comparable organizations (academia, non-profit, government, etc.) with multiple internal stakeholders and external volunteer/member stakeholders.
- Experience supporting mid- to senior-level executives
- Meeting planning experience
- Excellent customer service skills
- Excellent verbal and written communication skills, including proofreading
- Proficient with Microsoft Office applications (Word and Excel)
- Prioritize own work, with input from others.
- Check the quality and timeliness of own work others' work, in conjunction with Project Manager.
- Ability to work with multiple key stakeholders, both within the organization and volunteer leaders from the membership base
- Ability to manage multiple projects simultaneously and prioritize responsibilities with input from others
- Ability to work independently as well as in a team setting
- Ability to learn Google enterprise applications (including forms)
- Ability to learn other applications (Convio, Doodle, Survey Monkey, etc.)
- Ability and willingness to travel occasionally.
- Must possess valid US passport or ability to obtain one.
