The Manager, Operations implements and executes operations support to the Managing Director, Operations and Communications on behalf of the Chief Operating and Program Officer (COPO). In this role, you will work directly with the COPO, her office team, the Regional Operations (Reg Ops) leadership team and members of the full team, to lead some event planning, manage the day-to-day operations for the team, and to provide strategic and analytical capacity to special projects. This role requires outstanding skill in execution, prioritization, and efficiency.
Areas of Responsibility:
Operations (40%)
- Set vision and lead logistics and operations plans for smaller scale events (Regional Operations team retreats, Network team retreats, other small gatherings)
- Create and send all communications related to event logistics
- Efficiently manage all aspects of event for the given team
- Collect and track all pertinent attendee information
- Analyze data results of given event and propose strategic shifts for next event
- Support logistics and operations support for all large-scale senior leader events (e.g. ELT conferences, etc.).
- Support with COPO communications (e.g., drafting language for team-wide communications, creating draft decks for team meetings, creating/managing team websites, etc.)
- Support execution of OCOPO-owned communications operations (e.g., edit Regional Rundown/Reg Ops team blasts, copy/paste blurbs into blasts/Slack, archive old blasts, etc.)
- Partner with ELL team on execution of our culture strategy on behalf of the COPO for the Reg Ops team, EDs, and COPO’s direct reports, including projects related to ensuring we are highlighting significant moments in team members’ lives and experiences in a creative and culture-driven way.
- Act as Selection Manager for the Office of the COPO as well as the RO team.
- Support team call logistics such as Zoom and slide presentations, as well as support with note-taking and capturing next steps, etc. for OCOPO, Reg Ops, and other teams as needed
- Provide logistics support, as needed, for all senior leader events (e.g. ELT conferences, Network team retreats, etc.).
- Provide light admin support for COSs on OCOPO team (e.g., AmEx expense reports, some scheduling support, etc.)
- Directly manage team temp or part time associate, as needed
- If in Chicago, manage team supply management and checkout process
- If in Chicago, provide on the ground admin support to COPO
Additional OCOPO Support (30%)
- Drive strategy and project management for ad hoc team critical projects
- Analyze data, survey results, pull trends and make recommendations for next steps
- Create presentations for Chief Operating and Program Officer and/or Chiefs of Staff / other senior team members
Finance (15%)
- Act as team lead buyer and finance tracker:
- Support budget tracking and compliance monitoring
- Manage expense report submission and approval tracking
- Create and manage system for processing all purchase orders and supplier invoices
- Serve as Team Purchase Card holder/process manager
- Manage Placement Fund process and execution (update training resources, policy, and process check requests /ensure funding disbursement on behalf of regions on a biweekly basis).
Knowledge Management (15%)
- Serve as team historian
- Design process for maintaining a centralized calendar capturing information about National Board meetings, National Council meetings, team retreats/ events across Reg Ops and partner teams, Home Team schedules, org-wide ELT retreats and calls, etc.
- Develop the system for maintaining/updating all team information with little to no supervision
- Collect and update enterprise wide information for the Org Wide Cadence and Regional Contacts tools; evolve and iterate on current process
- Collect and archive team specific documents, slides, photos/videos, etc.
- Create and maintain knowledge management hubs (e.g. Google sites, etc.).
- Develop and manage new team onboarding and off-boarding processes and organize team member information (intro calls, process orientations, info/bio gathering)
- Support OCOPO and Reg Ops knowledge management (e.g., scrubbing files, reorganizing folder structures as teams shift, archiving, etc.)
- Manage contact information including team listservs, internal staffing lists, org charts, YOS and birthday info, etc. (for Reg Ops, umbrella teams, National Council, ELT, etc.)
Skills/Experience:
- Minimum of 3-5 years of strong performance in operations

Work Demands
- Work with colleagues based across the country using remote technologies and traveling periodically for in-person collaboration (estimated travel is 25% on average)
- Some weekend work required
- Some heavy lifting required (30-40 lbs).
