Facilities Manager

The Natural Resources Defense Council is seeking a Facilities Manager to oversee the general management and efficient day-to-day operation of the Chicago and remote offices. The position is responsible for ensuring a safe and healthy work environment for staff, developing policy and procedures, managing projects, planning and improving work-spaces, responding to emergencies, engaging in long-term planning for the office, managing renovations and participating in developing institutional projects that impact all offices. The successful candidate will maintain a high level of customer service, support a workplace that embodies sustainability and health and wellness practices, have a holistic and innovative approach to facilities management and ensure that office policies and procedures are aligned with the Facilities Team mission and goals.

Areas of Responsibility: 

Institutional Support

  • Collaborate with Facilities Leadership Team on institututional projects that are focused on improving efficiency and, areas such as purchasing and real estate, with the objective of being efficient with resources, planning for long-term, and improving staff experience.
  • Ensure alignment of organizational goals and implementation of Sustainability, Health and Wellness practices and Community Building efforts.
  • Manage NRDC’s roughly growing trend of remote staff and small remote offices.

 Facilities Management

  • Oversee facility maintenance and repairs, maintaining related building logs and follow up with building management and ownership.
  • Work, along with Facilities Leadership, on capital projects related to office exansions, renovations and moves.
  • Manage and review space needs and process for space assignments and ensure alignment with NRDC’s Workplace values.
  • Oversee purchasing, maintenance and installation of equipment and furniture.
  • Develop and execute annual administrative plan and budget with full review of operations and maintenance costs.
  • Manage the processing, review and approval of Facilities invoices and expenses.
  • Oversee emergency management for the Chicago office including updates and protocols, coordinating workshops and acting as the main point of contact for emergency related issues.
  • Contract and coordinate vendors including security & life safety, cleaning, HVAC, and various maintenance and repair trades.
  • Oversee reception and mail services.
  • Organize monthly all staff meetings and staff engagement through staff events that support Community Building.
  • Manage communication for the Chicago office for all Facilities related issues.
  • Conduct office policy orientation for new employees, interns and volunteers.
  • Maintain NRDC energy management software for the Chicago office.
  • Additional related duties as assigned.
Skills/Experience: 
  • Outstanding interpersonal, communication and organizational skills.
  • Desire to provide excellent customer service to office staff.
  • Ability to work collaboratively, manage a heave and diverse workload and execute duties independently.
  • Computer literacy essential: spreadsheets, databases and electronic communication required.
  • Aptitude for facilities management and be detail-oriented.
  • Must have the ability to lead, plan and delegate responsibility and function under pressure.
  • Ability to communicate effectively and professionally with staff and external contacts.
  • Knowledge of sustainability, LEED system, LBC standards
  • Interest in environmental and/or social issues
