The External Affairs Coordinator provides administrative, research, organizing and general office support to managers and the External Affairs team.
The External Affairs Coordinator works on a variety of activities, which include organizing and maintaining, tracking internal files and databases and basic team administrative support and correspondence. The coordinator is responsible for preparing for meetings including stakeholder and policy research to prioritize contact, briefings for senior leadership, scheduling with VIPs, all meeting logistics, assisting in targeted follow-up and maintaining compliance with all related lobbying laws and procedures. The coordinator also assists in managing the team’s resources through collaboration with marketing staff to create new external resources and social media opportunities.
RESPONSIBILITIES AND SCOPE
- Supports the development and management of government relations team resources including but not limited to factsheets, databases, media and research on policy issues, officials.
- Develop and maintain repository of Illinois specific data, talking points, and policy content to substantiate USGR advocacy requests.
- Coordinate external partnership engagement to support coalitions and campaigns under direction of Government Relations Director.
- Maintains compliance with all applicable lobbying regulations and procedures, keeping records and filing reports.
- Manages overall internal reporting content in internal database.
- Responsible for policy and advocacy support including research and meeting and message preparation for all levels of governmental outreach to support the Conservancy’s Shared Conservation Agenda.
- Coordinate trustee, senior staff and volunteer engagement in advocacy and policy outreach.
- Financial responsibility includes processing check requests, travel expense reports, and tracking portion of team budget to account for any reportable contributions for advocacy and outreach activities. May purchase equipment and supplies as provided for in budget and in consultation with supervisor.
- Supervises no staff but may assist to oversee the work of volunteers or interns.
- Performs duties under general supervision and established guidelines.
- Fluency in English and (list language(s) of the countries of the relevant geography) and strong writing skills.
- Experience in general program support such as event planning, meeting preparation, data tracking and research or related experience.
- Experience with databases, spreadsheets, presentations, and other.

- Multi-lingual skills and multi-cultural experience appreciated.
- Ability to organize time and manage diverse activities.
- Experience, coursework, or other training in public policy, government relations, business, or sustainability.
- Proven organizational skills and attention to detail.
- Demonstrated experience with databases, website management, and records maintenance.
