This position performs a variety of highly responsible administrative tasks in a support function for the Executive Director of the Chapter. Significant teamwork and collaboration with staff, volunteers, and community members is necessary as well as the ability to exercise independent judgement. The position also requires a high level of confidentiality and the flexibility to adjust to changes in the job structure. 

Areas of Responsibility: 

Clerical and Operational Support:

  • Provide clerical and administrative support for the Executive Director including preparing correspondence, completing reports, petty cash accountability, screening calls, and placing orders through approved credit card policy
  • Attend board meetings, record attendance and take minutes; attend some committee meetings and take minutes as needed; ensure room set-up and refreshments for same
  • board members and facilitate attendance 
  • Manage board retreat, reunion, and other functions
  • Maintain resource information for board; assist with communications to board as needed
  • Partner with Director, Operations to ensure room set-up/refreshments/wrap-up for various staff meetings
  • Keep board records such as roster, contact information, tenure, attendance, and required forms
  • Maintain board calendar of meetings and key events
  • Manage the United Way campaign speaking engagements
  • Provide back-up coverage to support administrative staff, including front-desk coverage, answering incoming calls
  • Demonstrate effective written and verbal communication skills. Ability to compose general correspondence, maintain records and prepare accurate reports 
  • Work with Department Directors on specific projects as needed
  • Provide support to special events and related activities
Educational Background: 
Bachelor’s degree required with 2 years or more of administrative experience 
Skills/Experience: 
  • Must be organized and detail-oriented
  • Strong written and verbal communication skills
  • Outstanding problem solving skills
  • Microsoft Office experience: Word, Excel, Power Point required; Publisher preferred
  • A strong work ethic, and outgoing, positive personality, a sense of humor, and a zeal for relationship building 
  • High level of integrity, diplomacy, confidentiality, and initiative
  • Ability to manage projects independently and report outcomes effectively
  • Effective interpersonal skills to encourage teamwork and cooperation with others 

Working Conditions:

  • Normal office environment
  • High volume of public contact
  • Travel by car to meetings as needed
  • Evening and weekend hours on occasion
  • Work may be stressful during periods of high volume or tight deadlines
