General Summary
The Specialist, Relationship Events is responsible for logistics management and execution; fundraising support; overall coordination and strategic planning of all aspects of assigned events, including but not limited to advance planning, venue and vendor contract negotiations and coordination; collateral, sponsorship and promotional materials; event budget management; supervise the activities of volunteer leaders and work with event co-chairs to execute the event; sponsorship pledge renewals and solicitation; follow-up, administrative and tracking; volunteer recruitment and management; and on-site staffing. Events include Chicago and New York Rita Hayworth Galas, Palm Beach Rita Hayworth Luncheon and other galas/events as assigned.
Essential Job Functions
- Logistics management and execution, overall coordination and strategic planning of all aspects of assigned events (notably New York and Palm Beach events)
- Sponsorship pledge renewals and solicitation; follow-up, administrative and tracking, including benefits and general stewardship of sponsors throughout the year; RSVP's; and progress reports for committees, event leadership and relationship event department directors.
- Coordinate and support the activities of volunteer leaders and work with event co-chairs to execute the event
- Anticipate necessary communication, cooperation and coordination with other Association staff, projects and events.
Minimum Requirements
- Bachelor's degree in communications, public relations and/or marketing, or related field
- 2+ years of event management experience, preferably with events utilizing many high profile volunteers and more than $1,000,000 gross revenue
- Superior organization, communications, analytical and logistics skills
- Previous supervisory experience (vendors, temps, volunteers)
- Proficient use of Microsoft Word, Excel, database management
