The incumbent will provide Executive Administrative support to the Senior Vice President, Chief Information Officer. This includes maintaining all schedules, making necessary travel arrangements, creating and distributing all necessary materials for meeting and handling other administrative duties as required.

Areas of Responsibility: 
  • Act as the point of contact for calls to the Senior Vice President, Chief Information Officer. Respond or route calls as appropriate in a timely manner. Maintain log of calls received.
  • Prepare materials of a highly confidential and complex nature where responsibilities of trust and accuracy are vital, and knowledge of the organization, policies, procedures and mission are essential
  • Prepare minutes, reports, rosters, and presentations as needed from notes and verbal instruction.
  • Prepare and assemble materials for meetings, coordination of meeting agendas, coordination of schedules, meeting arrangements, and reservations.
  • Coordinate efforts for special projects and events, mailings, adhering to deadlines.
  • Facilitates a network of sharing, training and assistance to other Administrative Assistants. 
  • Open, date stamp, and log mail received by the Senior Vice President, Chief Information Officer. Reply to routine correspondence and routing remainder as needed.
  • Make extensive travel arrangements and coordinate the schedule of the Senior Vice President, Chief Information Officer.
  • Prepare correspondence, reports, and compilation of meeting materials as needed.
  • Maintain the Senior Vice President, Chief Information Officer’s filing system.
  • Process expense reimbursements for the Senior Vice President, Chief Information Officer and vendors when appropriate.
  • Assist with miscellaneous aspects of event planning.  Attend meetings as needed to assist with on-site registration and coordination.
  • Assists with maintaining and monitoring departmental budgets.
  • Other duties as assigned.
Educational Background: 
Bachelor’s degree or equivalent work experience is required.
Skills/Experience: 
  • Minimum of five years executive administrative support experience is required.
  • Superior written and verbal communication skills, along with excellent interpersonal skills. Candidate must be comfortable interacting with diverse persons at all levels of an organization, both inside and outside the YMCA.
  • Proven track record of maintaining confidentiality.
  • Exhibit strong attention to detail and can work independently and takes initiative to complete assignments.
  • Strong ability to multi-task and the capacity to constantly re-prioritize and make sound judgments in a fast-paced environment.
  • Advanced skills with the Microsoft Office Suite of programs, including Word, Excel, Access, Power Point, Visio, Publisher and Outlook.

Compensation/Benefits: 

Salary: $60,000.00 - $65,000.00
