The is responsible for the coordination and day to day administrative functions related to supporting Family Center Operations and Program and Leadership Development. Assists the Chief Operating Officers in all aspects related to those areas including the delivery of high level of service to internal and external customers.
- Provides administrative support to the Chief Operating Officer(s)
- Maintains and updated Association Family Center Operations files, records and reports
- Administers and maintains records of the Center Operations and Property/Risk Management Committees including coordination and posting of applicable documents (i.e. agenda, minutes and board packets) on web-based system.
- Serves as the liaison to Center Board Chairs, Vice Presidents, and Executive Directors and outside vendors relating to day to day operations
- Access and operates the SGA Financial Management System relative to budget, financial statements, and forecasts for Association reports
- In support of COOs, prepares reports, excel spreadsheets and data entry that may be extensive and confidential in nature
- Assists association cabinet VPs with administrative functions including monthly tracking and reporting for Aquatics and Lifeguard documentation, Risk Management and Mission Protection documentation to include AED pad documentation, preventative maintenance plan and coordinates, and serves on Mission Protection Cabinet meetings and prepares minutes
- Provides strong leadership, accountability and accuracy for all facets of Association Bus Motor Pool including approval, DMV monitoring, driver physicals, and maintenance of driving records
- Assists COO and Corporate Property Staff with managing Capital Reinvestment Plan (CRP) and Equipment Funding Plan (EFP) monthly, including accurate billing and coding, invoicing fitness equipment partners for service, reporting related to the administrative operation of the Association Property Assets
- Manages and supports general operations of YMCA Corporate Office daily functions including: Ensures drinks and snacks are available for Association meetings/trainings, orders catering when needed, orders all office supplies, communicates and maintains housekeeping contractor relations, general office supplies, troubleshooting and maintenance of copy machines, postage Machine, and general communications to Facility Dude of Corporate Office property issues. Ensures safety and cleanliness of corporate offices
- Analyzes and resolves corporate office administrative issues and work in tandem with other corporate administrative staff members to solve
- Assist with various aspects of event planning, including department/association wide on-site and off-site meetings; attend meetings as needed to assist with on-site registration and coordination.
- Gathers data and assists in the completion of YMCA National reports
- Work with SR Leadership Team and other Corporate Staff on special projects
- Maintains confidential and sensitive information and materials in a professional and private manner
- Provides back-up administrative support when needed to the President/CEO and Chief Strategy Officer/CSO
- Serves as the primary backup to the Sr. Director Corporate/Insurance Services for insurance issues and claims
- Orders gifts as needed for sympathy, sickness, childbirth or appreciation per COO
- Purchases and set up of monthly All-staff Breakfast
- Performs other duties as assigned
- A minimum of 5 years administrative experience supporting a training office or working for multiple individuals is preferred
- Superior written and verbal communication skills
- Excellent interpersonal skills; ability to work collaboratively with a diverse team of individuals at all levels of an organization, both inside and outside the YMCA Excellent customer service skills.
- Must display a professional and courteous demeanor at all times
- Must possess advanced knowledge and experience using Microsoft Office Suites, including Word, Excel, PowerPoint, Google Docs, Google Mail, and Adobe Acrobat Pro
- Must possess excellent analytical, problem-solving, organizational and time management skills
- Must be a self-starter with the ability to work independently
- Strong ability to multi-task and the capacity to constantly re-prioritize and make sound judgments to meet deadlines
- Must possess a proven track record of maintaining confidentiality
- Certifications required within 60 days of hire: CPR/AED and First Aid
