Part time Database Coordinator (remote)

Dravet Syndrome Foundation (DSF) is committed to advancing research on Dravet syndrome while advocating for and supporting individuals living with this rare, lifelong developmental and epileptic encephalopathy. DSF’s mission is delivered through a variety of programs, services, education and research initiatives.

We are seeking a highly organized and proactive Part-Time Administrative Assistant to join our tight knit team and support our day-to-day operations through this remote position.

Areas of Responsibility: 
  • Collaborates closely with the Executive Director (ED) and Finance & Program Director
  • Handles the Foundation’s database entry and other database work as assigned

  • Manages website updates

  • Supports the Fundraising Team with event communications, email campaigns, and other assigned tasks

  • Handles correspondence, including special mailings and donor engagement

  • Attends staff meetings

  • Prepares meeting agendas and records minutes for staff meetings

  • Assists with event preparation and provides on-site support at meetings or events

  • Supports the ED with planning for the biennial conference and other assigned meetings

  • Orders supplies and materials as needed

  • Performs other duties as assigned

Skills/Experience: 
  • At least 3 years of experience in an administrative role within a corporate or nonprofit setting, combined with relevant education, is preferred

  • Experience with CRM platforms (knowledge of Bloomerang is a plus)

  • Strong Excel skills, including proficiency with formulas and pivot tables, are a must (candidates advancing past the first interview will be required to complete and pass an Excel test before the final interview)

  • Experience with project management software (familiarity with Monday.com is a plus)

  • Familiarity with WordPress and/or Elementor is a plus

  • Past experience in email design is required

  • Experience with design tools like Canva is beneficial

  • Comfort with technology is necessary, including the ability to set up and manage web meetings, teleconferences, securely share documents online, and coordinate meetings across various time zones

  • Strong organizational skills and attention to detail are critical 

  • Excellent communication skills are required, including the ability to communicate clearly in both verbal (in-person and by phone) and written forms 

  • The ability to collaborate effectively within a team is necessary, especially in a setting where responsibilities and accountability are shared 

  • Willingness and availability  to travel up to six times a year for meetings and special events, often on weekends

  • Must reside in the continental U.S.

  • A background check is required

Compensation/Benefits: 
  • The position offers a flexible schedule and will be performed remotely

  • This position is 20 hours per week, with the potential to increase to 30 hours per week.

  • Pay: $20/hr for first 90 days, then $22/hr

  • Benefits: PTO & 401K match

Additional Information:
