Association Executive Director of Risk Management

Under the direction of the Chief Operating Officer and consistent with the mission of the YMCA, the Association Executive Director of Risk Management will provide leadership and management for the Association’s risk, transportation, safety training, child abuse prevention, and insurance initiatives.  The Executive Director of Risk Management will be responsible for activities for identifying and controlling, eliminating or reducing the conditions and practices which cause loss and/or exposures.  The Executive Director of Risk Management will develop a partnership with branch leadership to develop and implement best practices and training in the area of risk to insure a safe environment for the YMCA of Greater Charlotte.  The Executive Director of Risk Management is directly responsible for mitigating Association risks as it pertains to members, participants and staff.

Areas of Responsibility: 

Emergency and Incident Management

  • Accessible to staff as first point of contact to direct action in the case of emergencies including any calls to 911, YMCA bus/vehicle accidents, employee or member injuries, member confrontations, threats of violence, weather related issues, or any other emergency that may arise
  • Investigate incident/accident sites, take photos, interview staff, members, witnesses, etc. where appropriate and enhance current processes or initiate measures of change where needed
  • Use discretion and judgement to make decisions and direct staff at all levels on appropriate ways to handle situations.
  • Review Incident reports to ensure they are accurate and complete and proactively follow up with branches to investigate/document findings for future legal considerations
  • Communicate incidents directly the appropriate insurance company, as necessary
  • Daily communication with leadership staff to advise and ensure sufficient and appropriate communication with injured/effected party on all incidents through to resolution/satisfaction; speak directly with injured/effected party as needed
  • Communicate and follow up with branches on incidents that require repairs or risk assessments
  • Develop, implement and manage system to ensure timely reporting of all incidents

Insurance/Legal

  • Analyze, distribute and explain insurance reports, loss data, open claims, and incurred and outstanding balances to Executive Directors and Operational Vice Presidents
  • Act as YMCA representative in legal cases involving any member liability, injury/accident, or criminal case, mediation, or trial
  • Insure certificates of insurance and obtain them when and where required
  • Act as liaison to insurance adjusters, under-writers, and brokers
  • Conduct annual internal audit of all branches and recommend changes to Executive Directors, where needed, that will allow for improved/continued safety of people, building, ground, and equipment
  • Manage all property, vehicle, liability, member discrimination/harassment and med pay claims including scope of repair work, timeline, program continuity, and allocation of insurance costs
  • Review waivers and contracts to insure they are clear and appropriately cover the YMCA’s interests.

Transportation

  • Develop, implement and manage record criteria and keeping system for Motor Vehicle Record eligibility of all YMCA vehicle drivers
  • Analyze Motor Vehicle Record reports to approve or deny driving access for YMCA of Greater Charlotte owned/leased vehicles
  • Oversee the Transportation Branch Representative team and all YMCA of Greater Charlotte vehicle/driver safety, driver training programs,  and remediation plans for driving infractions and accidents
  • Investigate all complaint calls for “How’s My Driving” line and work with branch directors and HR if action is needed
  • Develop, implement and manage record keeping system for safety inspections on all YMCA vehicles

Branch Communication

  • Participates in strategic planning for the organization (including PLT’s).  Provides leadership and consulting support to the executives and management on matters of reinforcing culture, setting goals, developing policy, and implementing strategic objectives.
  • Direct decision making process for branch staff for the suspension/banning of members, non-members, participants, or guests, for behavior that violates the YMCA of Greater Charlotte Code of Conduct, including anyone listed on the National Sex Offender Registry
  • Conduct branch in-service drills/trainings, facility inspections and aquatic safety drills
  • Coach all employees in the principles and compliance of risk management.
  • Provide leadership to risk management strategies and audits, emergency procedures, and readiness audits
  • Develop, implement and maintain efficient system of communication on risk processes
  • Act as point person on sex offender/member reports and insure appropriate action is taken
  • Ensure OSHA requirements are met and maintained
  • Lead Association Risk Branch Representative team and act as liaison to branch risk committees
  • Manage Child Abuse Prevention Standards and reporting of all Child Abuse allegations to guardians, DSS and/or the local police
  • Recommend measures to help protect staff from potentially hazardous work methods, processes, or materials including, but not limited to, slips, trips, falls, ergonomics, and chemical safety.

Basic Safety Series

  • Oversee Safety Training Coordinator team to develop Association-wide guidelines and ensure consistent safety training and tracking for all YMCA of Greater Charlotte employees
  • Act as Director of the YMCA of Greater Charlotte ASHI Training Center to maintain quality assurance and compliance in all BLS, First Aid, and Oxygen Administration training
  • Develop, implement and manage centralized tracking system for Basic Safety Series requirements for all staff
  • Oversee operations and compliance of ASHI staff instructors, staff trainings, and community training
  • Develop and maintain YMCA of Greater Charlotte Blood Bourne Pathogens OSHA compliance training

Child Abuse Prevention

  • Per Y-USA partnership, act as the Association Praesidium Guardian
  • Lead association Child Abuse Prevention team

Security

  • Plan security for special and high-risk events.
  • Develop budgets for and review financial reports to ensure efficiency and quality of security operations.
  • Conduct needs assessment and develop standards around call center, branch operations, system maintenance, access control, reporting tools and equipment, supplies and building security requirements.
  • Coordinate security operations or activities with public law enforcement, fire and other agencies.
  • Attend meetings, seminars, and conferences to ensure the YMCA of Greater Charlotte is aware of current changes in executive legislative directives or new technologies impacting security operations.
  • Assist in developing and implementing emergency management and contingency planning.
  • Arrange for or perform leadership protection activities.
  • Respond to security emergencies including threats of violence, harassment, inappropriate behavior, stolen property, trespassing, bomb threats, fire alarms, or intrusion attempts, following emergency response procedures.
  • Prepare reports or make presentations on internal investigations, losses, or violations of regulations, policies and procedures.
  • Proactively monitor, identify, investigate, resolve, and communicate potential gaps in security policies or practices.
  • Conduct, support, or assist in governmental reviews, internal evaluations, or assessments of the overall effectiveness of each branch’s security processes.
  • Communicate security status, updates, and actual or potential problems, using established protocols.
  • On-going communication with branch leadership staff to advise and ensure sufficient and appropriate response with effected parties on all security incidents and see through to resolution/satisfaction.

Educational Background: 
Four year college degree with significant relevant experience (minimum of 10 years).
Skills/Experience: 
  • Minimum 7 years of professional experience in leading or managing others.
  • Demonstrated knowledge and experience in risk management and safety.
  • Highly organized with superior supervisory skills and conflict resolution skills.
  • Demonstrated strong decision making skills and use of independent judgment.
  • Ability to manage complex and difficult situations with a high level of professionalism that retains a level of credibility and authority from an advisory relationship with staff
  • Proven ability to ensure accuracy and confidentiality in all work
  • Ability to develop budget and provide variance analysis
  • Excellent language/communication/presentation/training skills with the capacity to engage multiple and diverse constituencies
  • Comfortable speaking in front of various sizes and types of audiences, speaking with authority, professionalism and composure.
  • Ability to communicate with all staff, volunteers, members, participants, and guest while being resourceful, detail-oriented, and flexible; possessing a positive attitude, tact, and cultural sensitivity
  • Strength in all Microsoft Office programs including: PowerPoint, Outlook, Word, and Excel
  • ASHI Instructor Trainer certification preferred
  • Strength of Adobe Microsoft Professional for editing pdf documents
  • Knowledge of Personify and Kronos, preferred
  • Knowledge of Origami Risk and Punch Alert, preferred
  • Knowledge of local, state, and federal regulations is required

Compensation/Benefits: 

Salary: $70,000.00 - $81,122.00
