Associate, Executive Support

Teach For America-Charlotte-Piedmont Triad seeks a driven, focused individual to serve as the Associate of Executive Support. This role provides critical administrative support to the Executive Director of Charlotte-Piedmont Triad and is a key leader in ensuring we are operating in alignment with our goals and priorities. You will learn the inner workings of a dynamic nonprofit organization by understanding our work across multiple communities and functional teams and providing support where it is needed most. If you thrive on working behind the scenes, operate with a customer service mindset, and are a prioritization expert, you will excel in this role.

This position is part-time and benefits-eligible, averaging 20-25 hours per week, and will report to the Chief of Staff and work very closely with the Executive Director. In addition, you will also be part of the regional operations team and a national network of administrative staff.

Areas of Responsibility: 

Executive Support (90%)

  • Provide exemplary administrative support to the Executive Director by scheduling meetings and conference calls, maintaining calendars and contacts, arranging travel, processing expense reports, and securing necessary resources and information
  • Increase the efficiency and organization of the Executive Director and ensure their time is aligned with priorities and enables them to work in accordance with project timelines and deadlines
  • Act as a liaison and assist in building strong relationships between the Executive Director and external constituents such as board members, community partners, teachers, and alumni
  • Craft correspondence and manage follow-up for a variety of constituents
  • Manage the vision, strategy and execution of time-sensitive special projects at the direction of the Executive Director and Chief of Staff

 Regional Team Responsibilities (10%)

  • Fulfill foundational responsibilities that allow our region to do our work, make decisions, grow as professionals, and strengthen our team culture by attending regional meetings; completing our performance development program; upholding our data management, office operations, and fiscal responsibilities; and operating with our Core Values and commitment to Diversity, Equity and Inclusiveness
  • Make a direct impact on the organizational mission of enlisting, developing and mobilizing leaders to strengthen the movement for educational equity by interviewing applicants to Teach For America; communicating regularly with incoming corps members; and assisting with member-facing events
Educational Background: 
Bachelor’s degree or high school diploma with equivalent experience

Prior Experience

  • 1-3 years of professional experience required
  • Previous administrative experience strongly preferred
  • Previous Teach For America experience preferred
  • Exceptional organization skills and unwavering attention to detail
  • Genuine excitement for behind-the-scenes work and using efficiency and support of others to achieve collective goals
  • Ability to juggle multiple projects simultaneously with a spirit of flexibility and a positive outlook

  • Ability to work both individually and in teams
  • Strong judgment and ability to handle confidential or sensitive information with discretion
  • Intermediate proficiency with Outlook, PowerPoint, and Excel

 Work Demands

  • Ability to work an average of 20-25 hours per week, majority during Eastern time business hours
  • Occasional evening and weekend work required
  • Occasional travel to in-person meetings in Charlotte or the Piedmont Triad (1-2 times per year)
