Job Summary
The Accounting Technician, under the supervision of the Controller, will manage the monthly and annual data collection, reconciliation, and reporting/analyzing of the Per Capita Revenue and Membership counts from the national affiliate and other sources, along with the compiling of data for expense payment, budgeting, and auditing purposes. Responsibilities include the reallocation of monthly credit charges to the proper expense category; Bank reconciliations; Cash Flow reports; Capital Asset and Depreciation Schedules, and bi-annual inventory; General Ledger Account reconciliations; and assisting with the semi-annual scholarship process and awarding program; creating reports for Division Councils and Quarterly Lobbying. The individual in this position will also support a staff member in their daily functions by carrying out certain tasks; these tasks may include typing, copying, maintaining files, answering phones, organizing conference calls, operating office equipment, composing routine correspondence, and creating specialized reports, setting up meetings and taking minutes, preparing mailings, proofreading, keeping schedules, and delivering messages. This is a detailed individual contributor role for a professional able to manage a wide breadth of responsibilities. Strong analytical, communication, and organizational skills are a must.
Typical Duties and Responsibilities:
- Maintains invoice, journal and register, accounts receivable, and accounts payable using specialized computer programs
- Maintains Cash Flow reports
- Maintains Membership Accounting
- Checks accounts for accuracy; reviews records and source documents to identify sources of discrepancies; and determines corrective entries required to balance accounts
- Logs and sequences source documents, enters accounting data in registers, sorts documents by codes, and matches documents to accounts to assure that entries are properly posted
- Reviews files to assure complete and authentic documentation for transactions
- Operates computers and electronic calculators
- May process fund reimbursements or other employee claims for reimbursement
- Maintains accounting records and check registers
- Prepares journal entries and makes adjusting and closing entries
- Handles personnel records relating to payroll
- Maintains insurance for all staff and management
- Maintains confidential files relating to payroll
- Prepares Annual Budget under the direction of the Secretary-Treasurer
- Prepares documents, correspondence, envelopes, and labels using word processing
- Assist in collating packets for various presentations
- Take and transcribe minutes at meetings
- Maintain filing system of records
- Operate photocopier, postage machine, and other contemporary office equipment
- Organize office meetings
- Organize conference calls
- Other duties as assigned
Qualifications and Experience:
- AA degree or its equivalent in office administration, business administration, or related field and two (2) years of full-time accounting experience (preferred) or two (2) years of similar experience working in a trade union business office in a comparable position or four (4) years in a comparable position. College-level courses in business administration or a related field are a plus. A bachelor’s degree and first-hand experience with SAGE and Access is a plus
- Proficient in Access, SAGE accounting software, and the generation of reports preferred.
- Computer competency: word processing, strong in Excel and Microsoft Word
- Excellent communication skills (written and oral); advanced English usage, punctuation, and proofreading skills
- Ability to write specialized Excel reports, business correspondence, and procedural memos
- Ability to create and post journal entries, accurately and timely
- Ability to effectively present information and respond to questions from members and staff
- Ability to research and problem solve
- Ability to work independently and coordinate workflow

Physical Demands and Working Conditions:
- Minimal standing for photocopying and assembling materials
- Repetitive typing motion
$35.29/ hour to start; $44.12/hour after 12 months, plus full employee fringe benefit package: health, dental, and vision plans and retirement plans.
