The Associate Executive Director, Program Development is responsible for overall administration and daily operation of the Program Department. He/She will represent the Old Colony Y in a positive, professional manner, resulting in friendly, convenient, and courteous service. The Associate Executive Director will uphold the employee code of conduct and will ensure that all areas of the job responsibilities reflect the mission of the Old Colony Y and the regulating agency. The Associate Executive Director will display and encourage the character traits of caring, responsibility, honesty and respect in the fulfillment of all job duties.

Areas of Responsibility: 

PROGRAM AND DEPARTMENT RESPONSIBILITIES:

  • Develop and grow new programs in the area of Aquatics, Sports, Camp, Child Watch, Youth and Teen Fitness, and Arts & Humanities.
  • Support branch directors in the successful management of the aquatics, programs and camp. 
  • Direct supervision of at least 3 full time directors or coordinators
  • Assist the Executive Director in strategic development and implementation of programs and services to meet community needs
  • Provide leadership to all aspects of program operations including staff development, training, planning, fiscal development/management, program administration, and human resource management.
  • Provide the highest quality in programs and services for members, parents, and program participants.  Instill and model the highest quality of customer service.
  • Assist and closely monitor aquatics, program,, and camp departments including, budget and operation management
  • Strengthen and cultivate relationships to assist with branch fundraising goals.
  • Expand and implement all Arts & Humanities including YMCA Gymnastics, Cheer, Dance and Fitness/Sports programs in Association Branches and outreach sites.
  • Incorporate the YMCA’s mission of developing healthy mind, body and spirit into programs.
  • Monitor monthly financial reports to assure that revenue targets are met and expenses are controlled.
  • Must have the ability to develop and strengthen community relationship.
  • Develop and implement tools to track member engagement
  • Assist with special events and open houses to increase exposure of program department
  • Promote and market all programs in conjunction with the OCY marketing plan.
  • Work with camp administration to improve quality of camp programs and activities to increase enrollments.

FISCAL RESPONSIBILITY:

  • Prepare annual budget for the Program Department.
  • Monitor monthly departmental budgets to ensure income and spending are within budgeted projections.
  • Follow all accounting procedures, e.g. purchasing, etc.
  • Ensure that all participants have followed payment procedures.
  • Adhere to payroll timelines and approve timecards
  • Meet and/or exceed budget expectations.

SUPERVISION OF PERSONNEL:

  • Recruit, hire, train, schedule, supervise, and evaluate personnel.
  • Supervise Aquatic Director/Coordinator, Program and Camp Director,
  • Ensure staff follows all policies and procedures of the Old Colony Y.

FACILITY/HOUSEKEEPING RESPONSIBILITIES:

  • Ensure that all equipment inventories are maintained.
  • Ensure a safe and secure environment.
  • Order new equipment based on needs and budget.

INTERDIVISIONAL/COMMUNITY/VOLUNTEER RESPONSIBILITIES:

  • Establish and maintain positive working relationships and provide leadership for program area.
  • Provide leadership to program committee(s).
  • Work with Camp, Aquatics, Programs, and other Affinity Groups as needed
  • Attend all staff meetings as assigned.
  • Actively participate in and provide leadership in the YMCA’s Annual Campaign by completing all required tasks.
  • Actively network and collaborate with other YMCA’s to enhance both personal career development and improve current programs and/or implement new programs. 
Educational Background: 
Bachelor’s Degree or equivalent
Skills/Experience: 
  • Two or more years of supervisory and program management experience.
  • Ability to work with people of all ages.
  • Strong verbal and written communication skills.
  • Must have the ability to lift up to 45 pounds on occasion using proper technique.
  • Must be mature, enthusiastic and caring.
  • Must have current First Aid, CPR and AED certifications.
  • Must earn Darkness to Light and Listen First certifications within 6 months.
  • Multi Team Leader Certification from Y-USA within 1 year
