The Project Management Assistant will be responsible for a variety of operational and project management activities in support of the program.
This position will be based on the TNC office in Brasilia.
The Project Management Assistant will be responsible for performing various administrative and project management functions related to the program, in activities such as detailed survey of activities within each project, acting as coaching and monitoring and controlling the projects of the Strategy, as well as setting up and provide training for the Ms Project Management system. In the administrative function will be responsible for scheduling and logistics coordination for events and / or meetings, purchasing, central filing and request and monitoring of contracts. It can help with the recruitment and training of trainees and / or lesser learners of the program and can coordinate their activities. In addition, the Assistant may perform some activities along the areas of information systems, human resources through administrative support, including form processing, reporting and budget tracking. He will use available systems and resources to maintain, track, and research data for production and reporting analysis. It should apply established and practical procedures to improve the effectiveness of the program's procedures. It should coordinate activities with multiple variables, establish realistic deadlines and manage the project follow-up schedule. He / she should work cooperatively with Conservation staff, providing information needed to make decisions and solve problems. The Assistant can communicate on behalf of your strategy manager with internal and external sources including employees, suppliers and companies in order to coordinate the arrangements,
RESPONSIBILITIES AND SCOPE
- Perform tasks under general supervision and established standards;
- Make day-to-day decisions within the scope of work assignments and prioritize work independently;
- Identify routine problems and use existing resources for resolution, referring to difficult questions and problems with the supervisor;
- Demonstrate sensitivity in the handling of confidential information;
- Supervise minor apprentice and any other employee who is indicated by the strategy manager;
- Financial responsibility may include procurement, invoice processing, supplier contracts, and assisting with budget monitoring;
- Serve as a team member for assigned projects;
- Conduct surveys of the project scope (activities, product to be delivered among others) together with the Project Manager
- Follow-up and monitoring via the Ms Project tool, acting as a coach in the treatment of problems and difficulties of the projects;
- Provide basic and intermediate training of the MS Project and Project Management system.
- Experience in negotiation with suppliers;
- Good organization of time to manage various activities and meeting deadlines;
- Experience performing one or more administrative processes; and
- Experience working and communicating with a wide range of people;
- Experience in administration of Project Management systems will be considered a differential;
- Knowledge of the English language will be considered as differential
- Post-graduation in Project Management will be considered as differential;
- Multilingual skills and multicultural experiences are appreciated;
- Ability to analyze information for the purpose of reporting, coordinating activities and solving problems;
- Ability to apply research skills;
- Ability to record and edit written materials for program use in communications and special events;
- Ability to conduct project activity surveys with Project Manager;
- Database manipulation skills, including control data management and reporting;
- Experience, courses or other training in relevant field; and / or
- Strong organizational, business and attention to detail skills.
