The Operations Coordinator will be responsible for performing office and operations activities in support of the Boulder Office, including supporting staff that work for multiple programs in different locations within The Nature Conservancy.  This position has the option to be part-time or full-time, with flexible hours ranging from 28-35 hours per week (4 or 5 days).

Areas of Responsibility: 

The Operations Coordinator will join the Colorado operations team and be responsible for performing a vast variety of administrative functions for the Boulder Office, including supporting staff that work for multiple programs and locations within The Nature Conservancy.  This position may be responsible for budget tracking, accounts payable, purchasing office supplies, updating staff contact information, scanning, maintaining electronic files, mailroom operations, reception, coordinating fleet vehicle use and maintenance, coordinating logistics for meetings and special projects. This position will be responsible for supporting facilities management, including proactively scheduling repairs, responding to staff requests, and coordinating with vendors. The Operations Coordinator may recruit volunteers and coordinate the activities of volunteers.   This position will have frequent communication with staff located at the Boulder office and in remote offices, and with vendors.  They will assist in welcoming and onboarding new staff. 

RESPONSIBILITIES AND SCOPE 

  • Coordinate activities with multiple variables, set realistic deadlines and manage the timeline.
  • Financial responsibility may include budget tracking, purchasing, processing invoices, expense reporting, and contracting with vendors.
  • Coordinate vehicle maintenance, which may include tracking maintenance issues, scheduling repairs, and driving vehicles for routine maintenance.
  • Perform a wide variety of duties under general supervision and established guidelines.
  • Proactively identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor.
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently.
  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff.
  • Serve as a team member for assigned projects.
  • Be willing to work overtime as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
Educational Background: 
A combination of education and experience equivalent to a Bachelor’s degree and 1-year experience.
Skills/Experience: 
  • Experience organizing information and prioritizing tasks with attention to detail.
  • Experience managing a diverse set of activities to meet deadlines.
  • Experience performing one or more administrative processes.
  • Experience working and communicating effectively with a wide range of people.
  • Experience using Microsoft programs such as Word, Excel, and Outlook.
  • Valid driver’s license.

DESIRED QUALIFICATIONS

  • Demonstrated ability to be courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Excellent customer service skills and willingness to be flexible when priorities change.
  • Ability to work well in a high volume and sometimes fast-paced environment.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems.
  • Ability to write and edit written materials for use with staff communications and special events.
  • tabase skills, including managing and tracking data, and producing reports.
