The Donor Communications Specialist primarily writes and edits private funding proposals and reports for individuals, foundations and corporate major donors, as well as other communications pieces for major donors in collaboration with the Marketing team.

Areas of Responsibility: 

The Donor Communications Specialist

  • Writes, edits and produces private individual, foundation and corporate communications, typically for high-net worth donors. This position collaborates with fundraisers, conservation program staff, finance staff and our multimedia specialist to craft successful letters of intent (LOIs), funding proposals and reports, programmatic updates, state director emails, quarterly board-of-trustee updates, year-end appeals, and cases of support for Conservancy work in Colorado, primarily, and throughout the U.S. and the world.
  • Assists in the writing, editing, design and production of other communications in collaboration with the Colorado Marketing team. Products may include: donor thank-you letter templates, event invitations, outreach emails, website articles, campaign updates, presentations, donor profiles, magazine inserts, fact sheets, talking points and scripts.
  • Project manages donor communications and maintains a comprehensive queue and reference library of proposals, reports, other donor communications and commonly used materials and budgets. Coordinates team roles and deliverables, monitors timelines and communicates progress. Ensures efficiency and consistency in donor communications and compliance with Conservancy protocols by applying messaging and branding standards, using best practices in budget development, and securing reviews and approvals. May work with freelance writers, graphic designers, photographers, printers and other vendors and staff, as required. 

RESPONSIBILITIES AND SCOPE 

  • Produces communication materials for major donors who are managed by other fundraising staff.
  • Responsibility and accountability for maintaining central tracking systems and keeping libraries of shared resources.
  • Manages multiple projects at the same time and coordinates teams to meet deadlines.
  • Works with Philanthropy Operations Manager, Finance and Conservation leads, as needed, to ensure accuracy of budgets for proposals and reports.
  • May serve as team lead on assigned communication initiatives.
  • Applies a sophisticated understanding of Conservancy strategies, programs, partnerships and funding needs to inform work.
  • Builds relationships with fundraisers, finance, marketing and conservation staff, and may engage directly with external partners and funders.
  • Works within approved budgets to engage vendors and contractors.
  • Works independently and resolves issues without requiring detailed management.
  • Travel occasionally, work long and flexible hours as needed.
Educational Background: 
A combination of education and experience equivalent to a bachelor’s degree in related field and two-years related experience, especially in the nonprofit sector.
Skills/Experience: 
  • Experience writing successful fundraising communications.
  • Experience writing or editing one or more of the following: newsletters, magazines, annual reports, website articles, stories, donor profiles, acknowledgment letters, case statements, campaign brochures, funding proposals, fact sheets, presentations, or equivalent, preferably in the nonprofit sector.
  • Experience coordinating multiple projects and team members.

DESIRED QUALIFICATIONS:

  • Excellent writing and proofreading skills.
  • Knowledge and application of current and evolving trends in major-gift fundraising and working with institutional funders.
  • Multilingual skills appreciated.
  • Light graphic design and layup skills appreciated, preferably InDesign and Adobe.
  • Multi-cultural or cross-cultural experience preferred.
  • Ability to organize time, manage diverse activities, and meet deadlines.
  • Familiarity with communication technologies and best practices.
  • Experience presenting to diverse audiences.
