The Center for Collaborative Education (CCE) is seeking a full time employee to serve as an Administrative Assistant to support all of CCE’s programs and projects. This position will report to the Systems Director.

As part of the CCE team, this position will actively participate in our ongoing justice, diversity, equity, and inclusion work. Responsibilities of the Administrative Assistant

 

The Administrative Assistant supports organizational systems and projects by managing administrative and technical details related to the organization’s programmatic and operational activities. The successful candidate will be an effective multi-tasker who can balance requests while maintaining a high level of focus. Primary responsibilities include:

 

  • Providing general project support such as maintaining project plans and
  • Managing databases in Salesforce (data quality control, contacts, campaigns, registration, list servs)
  • Providing Zoom meeting technical support (i.e. screensharing, breakouts, recording/transcript, etc.)
  • Supporting logistical event planning as needed (I.e., meeting coordination, reservation management, meal orders, etc.); some events may require in-person support
  • Downloading, editing, and preparing recordings/transcripts for sharing with participants and partners
  • Tracking attendance/participation in projects/events
  • Managing short term “working” documents/files using different systems (i.e., Box, Google Drive, etc.) and long term storage/archiving of project documentation in Box
  • Creating and maintaining registration forms
  • Providing meeting support including logistical set up, note taking, and document preparation
  • Assisting with recruitment and onboarding of new hires including posting to job sites and tracking candidate status
  • Assisting with travel booking and expense reconciliation
  • Working collaboratively as a member of the CCE staff to support and develop all CCE programs and to contribute positively to the CCE organizational culture
  • Any other administrative tasks needed
Skills/Experience: 

The successful candidate for the position of Administrative Assistant should have the following qualifications, knowledge, and skills:

 

  • A commitment to CCE’s mission of increasing educational equity
  • Ability to handle multiple tasks simultaneously, prioritize tasks, and meet deadlines
  • Detail-oriented with excellent organizational and time management skills
  • Collaborative and team driven
  • Proven record of supporting organizational systems and projects
  • Strong communication and interpersonal skills to communicate effectively, both verbally and in writing to both technical and non-technical audiences.
  • Experience in Microsoft Office Suite (including Word, Excel, and PowerPoint), Google docs, and Zoom. Experience with Salesforce or other databases is a plus
Compensation/Benefits: 

CCE offers a competitive salary as well as health and dental insurance; generous paid time off including sick time, vacation days, floating holidays, and personal time; 403(b) with employer match; flexible spending accounts; and internet services and cell phone subsidies. The salary range for this position is $45,000 to $62,000 based on skills and experience. CCE offers a virtual (work from home) office environment with in-person meetings as needed and travel on occasion (up to 10%)  primarily in New England and sometimes to other areas of the U.S. Further information about the Center for Collaboration Education can be found at our website: https://www.cce.org.
