The Administrative Assistant/ Project Coordinator will support the Senior Operations team at American's First YMCA!

Reporting to the Chief Operations Officer, the Administrative Assistant will support the Senior Operations team with all administrative, project and communications needs.Seeking someone with experience with scheduling, managing project timelines and communication in a dynamic, fast-paced, and mission-driven work environment.

Areas of Responsibility: 
  • Prepares reports and communications as needed, manages files and computerized information sources.
  • Serves as liaison to branches, sites and other entities seeking time with members of the Senior Operations Team
  • Oversees and tracks project assignments and directives of senior management to ensure timely and accurate completion.
  • Coordinating travel logistics and reimbursements; calendar management; proofreading, editing, and preparing a variety of documents; planning, scheduling, and handling meetings and event logistics and technology requirements;
  • Maintaining office supplies/equipment; monitoring fiscal statements, reconciling accounts, and budgeting for purchases and meeting expenses; monitoring grant expenditures for compliance;
  • Serves as backup support to Executive Administrative Assistant
  • Will perform other routine and ad hoc duties as needed
  • Additional duties as assigned.
Educational Background: 
Bachelor’s degree preferred
Skills/Experience: 
  • 2 + years’ work experience, preferably in a support role in Administration, Project Management or Communications function.
  • Strong written and verbal communication skills.
  • Strong organizational skills
  • Good computer skills, including experience with Microsoft Outlook, Word, Excel, PowerPoint, Teams; expertise using the Internet and on-line tools such as Google Calendar, Google Docs; and experience in setting up technology for meetings (lap tops, projectors, speakers, etc.)
  • Ability to relate and communicate effectively to diverse groups of people from all social and economic segments of the community; track record of building authentic, constructive relationships with others.

Physical Demands:

  • Regular and reliable attendance is an essential function of the position.
  • Work is normally performed in a typical interior/office work environment.
  • Some limited physical effort required. No or very limited exposure to physical risk.
  • May include some early morning, evening and weekend hours.
