Office Assistant provides administrative finance/accounting and operations support for NASCA Business Unit

Areas of Responsibility: 

The Finance Administrative Assistant will work to support the finance and operations team to accomplish the daily, weekly and monthly tasks and reports.   S/he will support the planning and execution of logistics for special events and/or meetings, purchasing, central filing, mailroom operations, facility management, telecommunications, and/or reception. In addition, S/he may perform Information Systems, Human Resources, and Finance administrative tasks, including processing forms, preparing reports. S/he will respond to inquiries about office activities, create office materials, and draft correspondence. S/he is well versed in the systems and resources utilized by the team in order to execute assigned tasks. Under the guidance of his supervisor, s/he will communicate with staff in the office; as well as with volunteers. interns and vendors. S/he will effectively communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow.

RESPONSIBILITIES AND SCOPE 

  • Does not supervise any staff.
  • Duties are performed according to instructions or established practices.
  • May help plan the work of volunteers or interns.
  • May purchase equipment and supplies as provided for in budget and in consultation with supervisor.
  • May serve as a team member for assigned work teams.
  • Occasional travel to support fieldwork in remote and potentially dangerous sites.
  • Supervisor will resolve any problems or questions.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work overtime as needed.
  • Provide support to the Finance and Operations team to review the accounts receivable of suppliers
  • Help to conduct the regular operation activities of the Bogota Office.
  • Support the operations and finance team on filing and communication tasks for the Bogotá, Costa Rica, Panama and Venezuela Offices
  • Upload the weekly payment in the organization financial system
  • Support the Finance Operations Team with Different Financial, Operations and or Administrative Reports.
  • Ensures TNC policies and procedures are met.
  • Provide input through the office teams for the improvement of existing procedures.
  • Refer difficult questions and unusual problems to supervisor.
  • Office infrastructure and facilities management support
  • Support to office and field staff on day-to-day activities
  • Administrative support to office staff
  • Office reception when needed
  • Support with the health and safety system at work
  • Work within scope of office strategic goals.
Educational Background: 
Associate's Degree, Technical Education or Final semesters of Studies in Accounting, Administration  or related field
Skills/Experience: 

MINIMUM QUALIFICATIONS 

  • Ability to learn procedures and follow instructions.
  • Read and write in English

DESIRED QUALIFICATIONS

  • Ability to work well in a high-volume production environment.
  • Customer service” skills and focus
  • Proactivity to perform the tasks required by this position.
  • Strong attention to detail.
  • May require fluency in a English to support Financial and Operations Team.
  • Speak in English
