Under direct daily supervision the HR/Payroll Coordinator will provide strong, detail oriented and efficient support to the HR/Payroll Director handling bi-weekly payroll processing and administration along with daily administrative and clerical HR functions.
This position will assist with Employee Relations and HR Reporting and will also provide clerical and administrative support to the HR/Payroll Director and the VP/CFO.
Educational Background:
Bachelor’s Degree in Human Resources/Business Administration
Skills/Experience:
- Bi-weekly payroll processing and administration
- Batch and handout bi-weekly payroll checks to directors
- Responsible for accurate and timely Paycom entries and updates
- Responsible for bi-weekly Y retirement processing and administration on YERDI
- Prepares new employee files. Files papers and documents into appropriate employee files.
- Maintain and update all personnel records ensuring that files are in compliance with legal requirements and are always audit ready
- Complete annual personnel file audits.
- Responsible for Records Management – making sure that all boxes for storage are properly labeled, make lists of all files stored. Will act as the ‘go between’ for the organization and Iron Mountain, our external storage company
- Ensure that the talent acquisition process on Paycom runs smoothly
- Conducts all mandatory pre-employment background screenings and ensure that results are properly and appropriately filed
- Ensure that appropriate credentials i.e. degrees/diplomas/certifications/licenses etc. are received from all employees along with new hire packages. Maintain spreadsheet to track and update degrees/diplomas/certifications/licenses
- Ensure that Acknowledgements for Employee Handbooks are received from new hires in a timely manner and filed in respective employee’s folders
- Ensure that hard copies of Employee Handbooks are readily available for all locations
- Ensure that new hire employment and termination information is entered into Daxko. Will act as the ‘go between’ for this process with Membership Directors as per Practices and Standards document
- Verifies I-9 documentation to ensure compliance. Conducts E-Verify
- Responsible for quarterly I-9 audits adhering to federal requirements
- Track all Performance Appraisals and prepare monthly report for HR Director
- Notify directors of 90-Day Performance Evaluation due dates
- Notify directors of outstanding online training for their direct reports
- Complete monthly HR statistics report
- Complete bi-weekly FTE Reports
- Provide monthly Annual Campaign deduction reports to Accounting
- Run quarterly gross wage reports for the multi-site quarterly report
- Provide monthly HR metrics to Accounting
- Assists with employee recognition programs by ensuring that birthday cards, anniversary certificates and tenure pins are sent out on a timely basis
- Timely update HR Notice Boards in all locations
- Assists New Hires with proper completion of new hire checklists on Paycom
- Handle annual OSHA reporting
- Track all member/employee incident reports
- Prepare employee total rewards statements
- Track and administer employee benefit elections and terminations
- Reconcile monthly HR invoices for correctness
- Performs customer service functions by answering employee requests and questions
- Publish list of public holidays at the beginning of each year
- Make photocopies, faxes documents and performs other administrative and clerical functions
- Assists VP/CFO with administrative support to include filing and special projects
- Must be willing to participate in annual campaign and fundraiser events
- Must complete successful criminal background check and drug screen

- At least two years’ experience as a HR/Payroll Coordinator.
- Knowledgeable regarding HR and Employment Laws is a plus
- Paycom knowledge and experience required. At least two years using Paycom Payroll
- Must be passionate about the HR discipline
- Must have strong numerical skills
- Records Management experience is a plus
- Computer knowledge & experience (Microsoft products)
- Ability to develop and maintain HR spreadsheets in Excel format
- Excellent communication skills
- Strong work ethic
- Must be extremely organized with time management and prioritization abilities
- Must be willing to learn and to grow in the position
- Must be receptive to training and learning
- Must be accurate with strong attention to Detail
- Must be professional and display strong sense of emotional maturity
- Ability to work under stressful situations and to sometimes put in long hours, when required
- Must be able to work under strict deadlines
- Ability to deal with difficult, sensitive and confidential issues
- Ability to work at Boynton location every Thursday to assist directors with HR/Payroll matters
- Presentation and training skills is a plus
- Business writing skills is required

Compensation/Benefits:
Salary: $35,000.00 - $41,000.00
