Under the guidance of the CEO, the Executive Assistant will be responsible for providing administrative support to the President/CEO, Vice Presidents of Advancement, Mission Impact, Operations and Finance, and the Board of Directors.  Responsibilities include drafting digital and written correspondence for all executive level correspondence, coordinating and managing all Board of Directors related meetings and calls, managing staff calendars, and supply ordering.

This position focuses on ensuring the executive staff and board function at a high level of productivity. The Executive Assistant is a key ambassador focused on administrative support through effective communication, coordination and meticulous data management.  The role requires the ability to manage confidential information with discretion and communicate professionally and tactfully with staff, board, volunteers, guests and stakeholders.   

Located in in the heart of the beautiful Blue Ridge Mountains of western North Carolina in Black Mountain on a picturesque 1,200 acre campus, the YMCA Blue Ridge Assembly is a non-profit conference and retreat center. Having hosted our first conference over 100 years ago, we continue to serve a diverse array of groups—churches, schools, colleges, family reunions and youth groups, among others.  As a hospitality-focused YMCA, we are committed to delivering exceptional experiences for our 30,000 annual guests while developing a team of values-driven leaders.

Areas of Responsibility: 
  • Coordinate committee calls for the CEO and Board of Directors with staff liaisons and board committee chairs. 
  • Record and publish minutes of Board of Directors meetings and committee calls.
  • Manage CEO schedule, helping to prioritize tasks and see them through to completion.
  • Produce the spring and fall Board of Directors meeting report in both hard copy and electronic format. 
  • Coordinate and plan spring and fall events celebrating endowment donors and the YMCAs of the Southeast Hall of Fame inductees.
  • Serve as administrative support to Blue Ridge Leaders’ School conference during spring and summer.
  • Sort mail daily and keep accurate check log.
  • Order office supplies and any other print materials or signage.
  • Maintain strict confidentiality in managing communications or correspondence
Educational Background: 
Bachelor’s degree, preferably in the field of business administration, communication, public relations, human services or the equivalent.
Skills/Experience: 
  • High level of office organization and computer proficiency, including all standard business software.
  • Ability to work with integrity, discretion and a team-oriented, professional approach.
  • Track record of professional and effective verbal and written communication.
  • Highly organized, detail-oriented and adaptable with proven experience in meeting deadlines while managing multiple projects. 
  • Experience with customer relationship management (CRM) software, processes and procedures. Experience with Bloomerang software preferred. 
  • Ability to manage multiple tasks, set priorities, take initiative, work independently or as part of a team and be flexible in order to fulfill both stated and implied responsibilities. 
Compensation/Benefits: 

Salary: $25,000.00 - $30,000.00
