The Senior Payroll Specialist processes bi-weekly payroll for the CF Foundation.  Answers payroll and time-accrual questions from employees and interacts with Human Resources Department or ADP to resolve payroll or system issues.  Responsible for entering payroll related data into the accounting system for monthly and year-end financial reporting.  Works under the general supervision of the Senior Payroll Manager and follows prescribed payroll procedures.

Areas of Responsibility: 
  • Processes bi-weekly payroll in the ADP payroll system; compares the resulting payroll register to the previous pay period to check for accuracy and reasonableness; transmits payroll to ADP.
  • Checks for timesheets submitted but not approved.Prepares documentation of variances between current and prior paychecks for review by manager.
  • Reviews timesheets for accuracy and reasonableness; checks timesheets for new employees against documents received from Human Resources.
  • Processes payroll documents from Human Resources, including terminations, bonuses, and retroactive pay increases.  Updates payroll system for new tax forms, direct deposit forms, and parking/Metrocheck forms for new and existing employees.
  • Assists with administration of the ADP time accrual function, including preparing the biweekly report, calculating and entering changes, sending negative balance emails to employees, and answering questions from managers and employees.
  • Provides change management assistance with all upgrades to the payroll systems and modifications to business processes related to payroll activities.
  • Processes payments for garnishments, Tax-Deferred Annuities, and 401k plans.
  • Assists Sr. Payroll Manager with timely and accurate issuance of annual W-2s to employees and to the IRS.
  • Prepares the monthly payroll journal entries and enters into Microsoft Dynamics general ledger.
  • Completes control procedures; reviews calculations and entries of Sr. Payroll Manager
  • Completes all PR relates entries including NJ-9, 2 ADP payroll downloads, raffle when needed, CIP, 401(K) and monthly incentive accrual.
  • Prepares disbursement documentation from ADP media out file for 401(k) and CIP disbursements.
  • Assists with policy and standard operating procedure development in activities related to payroll processing.
  • Prepares payroll related reconciliations
Educational Background: 
Degree in accounting or related field preferred, 5 years of related experience.
Skills/Experience: 
  • In-depth knowledge of payroll processing and understanding of related concepts such as tax withholding, reporting and garnishments. 
  • Excellent interpersonal skills necessary to deal effectively with internal and external parties, including HR dept, employees, ADP, and others.
  • Analytical skills necessary to identify, evaluate and resolve issues with the payroll system.
  • Organizational skills necessary to maintain complete and accurate documentation for payroll processing and all employees.
  • Ability to concentrate and pay close attention to detail when processing payroll and executing all procedures.
  • Ability and commitment to maintain strict confidentiality of employee data.
  • ADP payroll software, Microsoft office and accounting system skills necessary.
  • Ability to work late at times, when circumstances arise
