Cystic Fibrosis Foundation, a highly regarded voluntary health service organization, is seeking a full-time Accounts Payable Specialist for our headquarters office conveniently located in downtown Bethesda, Maryland.
Under supervision, the candidate will perform basic accounts payable functions such as requisition processing, check request processing, keying vouchers, expense reimbursements, matching and batching checks and filing, vendor maintenance, 1099 processing, provide excellent customer service, and any new processes or procedure changes.
Areas of Responsibility:
- Review and process requisitions, check requests and expense vouchers using Paramount Workplace. The specialist must be able to properly code requests and identify and missing items that are deemed necessary for satisfactory completion (ensure vouchers are properly authorized and approved, ensure contracts or invoices are attached)
- Process P.O. matching for invoices in Workplace.
- Prioritize processing for rush invoices
- Place calls to vendors and colleagues at field offices and headquarters to request explanations of questionable items or to request missing items. The AP Specialist must be able to communicate what is being requested.
- Key credit vouchers into Dynamics GP.
- Specialist must be able to accurately key reclassification journal entries into Dynamics GP via journal entry when necessary.
- Review vendor maintenance information for accuracy in payment processing.
- Accurately match disbursements to the appropriate supporting documentation.
- Ensure disbursement amounts are properly calculated and matched to supporting documentation.
- Prepare checks and mail securely
- Perform inquiries of vendors, as needed.
- Research reconcile and correct vendor payment discrepancies.
- Demonstrate ability to maintain efficient production rate with high accuracy and minimal errors.
- Perform other duties as assigned.
Skills/Experience:
- Experience in accounts payable processing is necessary (2+ years preferred)
- Analytical skills with attention to detail and a high work ethic required
- Positive, professional attitude and reliable
- Strong organization, multi-tasking and time management skills
- Ability to communicate effectively (verbally and in writing) while providing exemplary customer service
- Ability to work independently and in a team, in a fast-paced, high volume environment with emphasis on accuracy and timeliness
- Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts
- Microsoft Office (Excel/Word/Outlook)
- 1099 Miscellaneous knowledge
- Microsoft Dynamics experience (a plus)
- Paramount Workplace experience (a plus)
