The Role

Are you a strategic, systems-based thinker seeking to make a greater impact in the social sector? Do you want to play a foundational role in designing management and accountability systems for our agency? Matterlab seeks an Account Services Coordinator to oversee the responsibilities listed below in support of Matterlab’s rapid growth. The ideal candidate is committed to the mission of Matterlab, able to operate independently, wired for solving problems and building systems, upbeat, and customer-service oriented. The position is a critical one—the Account Services Coordinator will report to the Social Impact Manager and work closely with the entire Matterlab team including the CEO during a significant growth phase of the company.

Areas of Responsibility: 

Account Support (40%)

  • Client Reporting: Design and prepare weekly updates and monthly reports for each client

  • Research: Oversee internal research projects for account managers to support decision-making and rationale for project approaches and recommendations to clients

  • Logistics: Support client project logistics and vendor management (identifying partners, placing/managing orders, holiday gift management, etc.) as needed

  • Account Management Support: Stays up-to-date on existing client contracts, scopes, and project statuses in order to be able to quickly/nimbly support account managers if needed

Systems Creation and Management (50%)

  • Platforms: Create, implement, and maintain processes for effective utilization of company-wide systems - Asana, Google Drive, Slack, Toggl, team calendar, and creative briefs.

  • Processes and Workflows: Create, implement, and maintain teamwide expectations and processes for optimizing collaboration, business development protocols, project management, and creative production workflow

  • Matterlab Reporting: Manage weekly internal reporting processes and share-outs to keep all team members on track and motivated

  • Expense Tracking: Oversee expense tracking for internal reimbursements and client billbacks

  • Weekly Team Meeting: Lead biweekly teamwide meeting for account updates

Special Projects (10%)

  • Assist with special projects, quarterly staff retreat, staff training, and other general tasks as needed

  • Assist with hiring as needed

Assist with Matterlab’s own marketing as opportunities arise/as needed

Skills/Experience: 
  • Cultural alignment to Matterlab’s ethos that everything is “figureoutable” and no challenge is too great to be solved!

  • Minimum 2+ years of experience in a professional working environment

  • Account management type experience, whether in an agency setting or in-house at an organization (for profit or nonprofit) with account management-like orientation and workflows

  • Expertise in and quick adoption of digital media platforms: social media channels, Squarespace, MailChimp, etc.

  • A strong desire and good personality fit for working in a high-accountability, high-autonomy setting

  • Entrepreneurial - comfortable with ambiguity; driven to succeed even when no one is looking; self-starter; always comes prepared with a well-developed point of view, initial work product, and recommendation for way forward when seeking support

  • Does not allow perfect to be the enemy of good - nimble at determining how much capacity to devote to any one challenge or project

  • Proven track record of setting and meeting a high bar for excellence - any reference contacted would likely use the word ‘excellent’ at least once in reference conversation!

  • Meticulous attention to detail

  • Interested in a long-term career in social impact
