The YMCA of Austin is seeking a Payroll Coordinator to manage all aspects of the payroll function for our association.


Under the direction of the Controller, the Payroll Coordinator is responsible for managing all aspects of the payroll area. This position works independently under general direction and is expected to determine how to accomplish tasks.

Areas of Responsibility: 

Payroll/Accounting Functions

  • Execute the day-to-day functions of the payroll area including but not limited to:
    • Timely and accurate payroll processing.
    • Timely and accurate processing of personnel actions forms for pay rate changes.
    • Processing of out-of-payroll checks.
    • Adjustments to salary payroll as necessary
    • Maintaining scheduled deductions
    • Timely PTO request approvals.
    • Timely paper paycheck distribution.
    • Reconciliation of payroll
    • Maintenance of payroll records and files, including detailed records for taxes and audits
  • Provide counsel on payroll related claims and issues.
  • Communicates with payroll vendor to ensure accurate payroll processing, reporting, and to resolve issues in a timely matter.
  • Facilitates management and employee understanding of payroll procedures and systems.
  • Assist branches in the area of payroll, including but not limited to:
    • management of time and attendance systems
    • providing reports and information for use of budgeting
    • management of client log-in access for supervisors
    • management of wage garnishments.
    • ensuring proper hone departments and payroll codes are used
  • Assist the association in the area of payroll, including but not limited to:
    • running retirement reports from payroll
    • verifying qualifications for retirement based on hours works
    • inputting retirement deductions in a timely manner
    • running audit reports on time and attendance systems
    • Input reimbursement journal entry into accounting system.
  • Assist in special projects as directed.
  • Strict adherence to company policies.
  • Stays current on payroll systems to achieve alignment with organization goals and to ensure effective accounting support.

  • Education- Bachelor’s degree from a four-year college or university in business, accounting, non-profit management or a related field. Previous YMCA experience and bilingual (Spanish) skills preferred.
  • Experience- 2+ years’ experience managing payroll and basic accounting functions
  • Thorough understanding of the mission and objectives of the YMCA of Austin.
  • Ability to manage projects and coordinate events in conjunction with other staff members and volunteers in order to achieve long and short-range goals of the Association.
  • Ability to work well under pressure and meet strict deadlines.
  • Technical Skills:
    • Strong written and verbal communications skills
    • Strong proficiency in Microsoft Office, especially Excel, Word, Outlook.
    • Ability to apply intermediate accounting and finance principals.
    • Ability to assume responsibility for accuracy and timeliness of work product.
    • Able and comfortable multi-tasking.
