Under the supervision of the Director of Character Advancement, Summer Camp Director and Retreats Director of the Sherman Lake YMCA Outdoor Center, the Camping & Retreats Office Manager will carry out the position’s responsibilities in accordance with established operating policies and procedures for the Sherman Lake YMCA Outdoor Center.  The position provides support to the Director of Character Advancement, Summer Camp Director and Retreats Director and those departments.  This position requires the ability to role model Honesty, Caring Respect and Responsibility in all aspects of representing the Sherman Lake YMCA on the telephone and in-person.  Often times this person is the first introduction to the Sherman Lake YMCA and the first person to respond to those who may have questions or be upset.

Areas of Responsibility: 
  • This position is to primarily serve as the Administrative Assistant to the Camp and all School programs. 
  • Assists with all aspects of the camping and retreat services operations including but not limited to managing all logistics of cabin assignments, daily schedules of campers and staff for the summer camp programs and the integrated education school programs.
  • Serves as receptionist for camping and retreat services by answering phones and greeting guests.
  • Assists in developing and distributing summer camper/parent and I.E. student/parent information packet. 
  • Assists in developing and distributing school/teacher information packets.
  • Prepares and maintains files of contracts for new and existing school groups. Assist with preparation of retreat services contracts when needed.  
  • Coordinates the hiring process for seasonal staff by setting up interview appointments and monitoring receipt of application materials. 
  • Coordinates receipt of employment forms and maintains accurate employee files in conjunction with the Business Office. 
  • Provides and demonstrates ability in the management and efficient operation of a well-run business office, skill in keyboarding, use of office machines, filing, keeping of records, and a working knowledge of computers.
  • Responsible for daily and monthly statistical reports, such as attendance at camp, compilation of program evaluation forms, volunteer hours utilized, and others requested reports.
  • Manages all camping service programs on a computer program.
  • Assists with all special events.
  • Co-responsible for office and lobby appearance.
  • Responsible for keeping up with current personnel policies and changes.
  • Assists in managing all budgetary accounts associated with position.
  • Assumes all supervisory and administrative support responsibilities assigned to the position.
  • Keep minutes at staff meetings if requested.
  • Accepts other responsibilities as may be assigned from time to time by the Director of Character Advancement, Summer Camp Director or Retreats Director.
  • Provides program support if needed.
Educational Background: 
A minimum of an Associate Degree in Business or related field or specific business training preferred
Skills/Experience: 
  • Great people skills
  • Typing proficiency
  • Excellent telephone communications
  • Ability and experience working and dealing with the public
  • Skills in administering and logistics/scheduling camper/student/member/guest groups and events
  • Proficiency with business machines and computer operating systems
  • Proficiency in accounting
  • Experience and knowledge in office management and supervision
Compensation/Benefits: 

Hourly: $10.50 - $15.00
