The Operations Specialist will work as part of a team with the Caribbean Division coordinating tasks related to activities such as recruiting, development training coordination, operations and compliance support on a variety of matters for both US and international locations, and other related tasks. This position will report to the Caribbean Director of Operations (DOO).
The Operations Specialist for the Caribbean Division will support the strategic priorities of the Division by implementing and completing day-to-day human resources, operations, and administrative functions. They will be well versed in the systems and resources utilized by the team in order to execute assigned tasks. They will provide guidance in satisfying administrative requirements based on extensive knowledge of TNC policies and procedures. The Operations Specialist may be responsible for planning and execution of logistics for meetings, purchasing, filing, and facilities management. Specific functions will include:
Human Resources
- In coordination with the DOO and management, the Operations Specialist will develop strategies for recruiting and retaining top talent and will implement tactics related to those strategies. The Operations Specialist will manage recruitments (10-15 per year), including posting jobs, supporting the screening of applications, entering required data into TNC systems, and supporting the onboarding of new hires. In coordination with the DOO, they will handle various processes related to talent management, performance reviews, recognition for staff anniversary milestones, supporting professional development opportunities, and off-boarding. The Operations Specialist will serve as liaison to TNC’s Ethics & Compliance department. They will handle day-to-day procedures, such as timekeeping, and other as-needed duties. The Operations Specialist will have a strong understanding of TNC’s policies and procedures related to Human Resources.
Operations and Compliance
- The Operations Specialist will support the DOO on a variety of operations matters such as tracking in-region fiscal and legal requirement deadlines, maintaining and improving the Division’s intranet/Connect site, supporting in-region programs with office space management as needed, and special projects. May be responsible for planning and execution of logistics for special events and/or meetings, purchasing, and other duties as assigned. They will assist the DOO with identifying opportunities for improving operations procedures and implementing plans to improve them. As needed, the Operations Specialist will support the Division’s Certified Contract Specialists and DOO with processes related to contract tracking as well as implementation of more effective contract management tools as they become available.
Finance
- The Operations Specialist will serve as back-up in the processing of invoices and may review employee expenses reports. As needed, they will support the DOO with documentation for internal or external audits and updates to in-region bank accounts.

- Act independently on assigned tasks and exercise independent judgment based on analysis and experience, referring difficult questions and unusual problems to supervisor;
- Coordinate projects with several variables, working within a defined timeline and budget;
- Demonstrate sensitivity in handling confidential information;
- Perform non-routine analysis, research and follow-through;
- Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements;
- Financial responsibility includes purchasing and processing invoices;
- May act as a resource to others to solve problems and act in supervisor’s stead when instructed;
- May supervise administrative and/or volunteer staff, including training and professional development;
- Provide input through project teams for the improvement of existing programs;
- Work flexible hours as needed;
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain; and
- Work is diversified and may not always fall under established practices and guidelines.
- Experience coordinating administrative processes;
- Experience generating reports and interpreting data;
- Experience in business writing, editing, and proofreading;
- Experience organizing time and managing diverse activities to meet deadlines;
- Experience working across teams and communicating with a wide range of people; and
- Excellent written and verbal communication skills in English

- Working command of Spanish is a plus;
- Ability to analyze information for the purpose of coordinating and planning activities, and solving problems;
- Tech Savvy and ability to use existing technology to achieve desired results;
- Experience with using SharePoint and its page design functions;
- Experience interpreting guidelines to achieve desired results; and
- Knowledge of current trends in specific field.
