The IT Procurement Contracts Specialist is responsible for a variety of day-to-day operations and management of activities within Information Technology (IT) as part of the IT Department of Finance and Operations (IT DOFO).
The IT Procurement Contract Specialist is responsible for a variety of IT DOFO operations activities. These activities include, but are not limited to, the following:
IT Contracts Administration
- On behalf of IT, managing and acting as the central POC for the Contracts Management System, including helping IT staff with training, providing general administrative support for the system, understanding and connecting related entities and contractual documents, and providing general document management for a central repository of IT contracts.
- In coordination with the Associate Director of IT Procurement & Contracts, develop and implement the IT Contracts Administration Guidelines and administer appropriate training to IT staff.
IT Contract Review & Management
- In coordination with Legal and the Associate Director of IT Procurement & Contracts, provide the following duties: reviewing and red-lining contracts, providing recommendations on business risks to contract owners, coordinating the appropriate additional reviews from departments such as Security, HR, etc. depending on contract type, and ensuring compliance with TNC Policies and Standard Operating Procedures.
IT Procurement
- Source, select, and manage commodities and applicable vendors as directed by the Associate Director of IT Procurement & Contracts.
- The Procurement Contract Specialist will provide guidance and expertise on IT contract and procurement processes to TNC staff as assigned/he will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline.
RESPONSIBILITIES AND SCOPE
- Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems;
- Demonstrate sensitivity in handling confidential information;
- May be responsible for the work of peers on departmental project teams;
- Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements; Decisions may bind the organization financially or legally;
- Financial responsibility includes purchasing, processing invoices and transfers, and negotiating and contracting with vendors, and participating in budget preparation;
- Manages the Contracts Management System for the IT department
- Maintains and reviews a central repository (both electronic and hard-copy) of all IT legal documents including contracts, grants, donations, RFPs, delegation of authority, etc.
- Manage projects with several variables - set realistic deadlines, manage a timeline, and ensure accountability;
- May participate in complex negotiations;
- Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs;
- Travel and work flexible hours, as needed;
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain;
- Work is diversified and may not always fall under established practices and guidelines; and
- Work within scope of program’s strategic goals
- Experience generating reports and analyzing and interpreting the data;
- Experience managing and implementing multiple projects;
- Experience with business process analysis and/or improvement;
- Experience with current technology in relevant field; and
- Experience working with cross-functional teams
