The Gift Planning Administrative Assistant provides a full range of administrative and/or program support to gift planning staff.
The Gift Planning Administrative Assistant performs various administrative tasks, including assisting the Senior Associate Director of Gift Planning with donor database interaction entry, reporting, travel arrangements, presentations, meeting scheduling, and other logistics as needed. They will regularly draft and mail donor correspondence, update the donor database, and assist with TNC’s internal Strategic Gifts Network. Additional responsibilities may include answering phones, organizing and maintaining files, scheduling and coordinating meeting logistics, purchasing supplies, and updating Gift Planning intranet pages. They will interact frequently with Gift Planning and other Conservancy staff and will provide them with information they need to make decisions and solve problems. Other duties as assigned.
RESPONSIBILITIES AND SCOPE
- Does not supervise any staff, but may help plan and direct the work of volunteers or interns.
- Duties are performed according to instructions or established practices.
- Limited financial responsibility, which may include processing invoices, preparing accounting forms, petty cash, purchasing, or travel expense reports.
- May serve as a team member for assigned projects.
- Prioritize tasks in the absence of specific instructions and make day-to-day decisions within the scope of work assignments.
- Supervisor will resolve any problems or questions.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work overtime as needed.
MINIMUM QUALIFICATIONS
- Experience managing diverse activities to meet deadlines.
- Experience providing administrative support including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, organizing files or related activities.
- Experience working and communicating with a wide range of people.
- Experience writing, editing, and proofreading written materials.
DESIRED QUALIFICATIONS
- Bachelor Degree plus 1 year experience or equivalent combination.
- Ability to analyze available information for the purpose of preparing reports and solving problems.
- Database skills.
- Familiarity with standard business communications.
- Good “customer service” skills and focus.
