Members of the Donor Stewardship Team who focus on Gift/Grant Administration provide the technical support needed to round out customized engagement and stewardship efforts for a portfolio of principal gift-level donors. As such, they work to ensure compliance with TNC policies and procedures, Internal Revenue Code regulations and the Donor Bill of Rights, with the goal of safeguarding the organization from risk while also ensuring our donors have a rewarding philanthropic experience. 

Areas of Responsibility: 

Primary responsibilities for the Donor Stewardship Gift/Grant Administrator will include solicitation review, gift/grant acceptance, gift/grant management, stewardship plan development and maintenance, donor file maintenance/updates and team project management and tracking.  Specific activities may include working with fundraising, program and other staff to develop and review concept notes and proposals, stewardship reports, and other materials for individual and foundation donors; reviewing gift/grant agreements; monitoring gift-specific spending and progress on deliverables with program staff; project-managing the proposal development and/or report development process.  S/he will have substantial contact with internal stakeholders, including direct fundraisers and Legal and Finance colleagues.  The Specialist will keep up-to-date on market trends and best practices to improve services. S/he will adapt processes and implement recommended practices to improve effectiveness and efficiency.

RESPONSIBILITIES AND SCOPE 

  • Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.
  • Does not supervise staff but may manage work of peers on departmental project teams.
  • Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
  • Financial responsibility includes working within a budget.
  • Manage stewardship responsibilities, including tracking tasks and actions for a donor accounts.
  • Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
  • May provide oversight for a key function of the team.
  • Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs.
  • Travel and work overtime as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
  • Work within scope of program’s strategic goals.
Educational Background: 
Bachelor’s degree and 3 years related experience or equivalent combination.
Skills/Experience: 
  • Experience preparing communications for external constituents.
  • Experience generating reports and analyzing and interpreting data.
  • Experience working across departments.
  • Experience with donor database software.
  • Donor relations/stewardship experience, coursework, or other training in principles and practices.

DESIRED QUALIFICATIONS

  • Ability to implement complex processes.
  • Ability to use existing technology to achieve desired results.
  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
  • Experience coordinating projects.
  • Experience interpreting guidelines to achieve desired results.
  • Experience with CRM.
  • Experience with database management.
  • Experience writing or editing proposals and communications for external constituents.
  • Gift/Grant management experience.
  • Knowledge of current trends in donor relations/stewardship and the donor cultivation cycle.
  • Multi-lingual skills and multi-cultural or cross-cultural experience are appreciated.
  • Strong organization skills, accuracy, attention to detail and ability to manage multiple tasks.
  • Successful experience implementing strategic program goals.
  • Understanding of basic accounting practices.
