The Administrative Coordinator will provide a full range of administrative and/or program support to a business unit or program.
The Administrative Coordinator will join the Office Services team and is responsible for performing a variety of administrative functions and interacting with staff across multiple programs within The Nature Conservancy’s Worldwide Office in Arlington, VA. This position will serve as primary back-up for our console receptionist (to include lunch relief) and assist with mailroom operations when necessary. The Administrative Coordinator will assist with budget tracking and payments, updating Resource Office staff contact information, scanning and maintaining electronic files, tracking staff furniture and key replacement requests and updating our Records Management intranet site. In addition, the Coordinator is responsible for working with vendors and building engineer staff to maintain pantry equipment. The Coordinator may communicate on behalf of the supervisor with internal and external audiences. Additionally, this position may assist with meeting preparation and coordinate some special projects from time to time. The Administrative Coordinator will have frequent communication with staff located at the Worldwide Office and sometimes in remote Conservancy offices.
RESPONSIBILITIES AND SCOPE
- Coordinate activities with multiple variables, set realistic deadlines and manage the timeline.
- Limited financial assistance may include budget tracking, purchasing, processing invoices, expense reporting, and contracting with vendors.
- Perform a wide variety of duties under direct supervision and clearly established guidelines.
- Proactively identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor.
- Make day-to-day decisions within the scope of work assignments and prioritize work independently.
- Does not supervise any staff, but may assist with volunteers, interns, or temporary staff.
- Serve as a team member for assigned projects.
- Be willing to work overtime as needed.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Experience managing diverse activities to meet deadlines;
- Experience providing administrative support, including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files;
- Experience working and communicating with a wide range of people; and
- Experience writing, editing, and proofreading written materials.

- Ability to analyze available information for the purpose of preparing reports and solving problems;
- Database skills;
- Familiarity with standard business communications;
