The Administrative Assistant/Receptionist oversees the front desk at the Worldwide Office in Arlington, Virginia and provides administrative support to the Office Services team.
This entry level position performs various administrative tasks, including routing calls and greeting visitors for a staff of 500, and preparing calendars, documents, and floor plans. S/he is responsible for the Office Services departmental intranet site, and for providing administrative support for various Office Services projects. S/he also distributes and tracks visitor security card access and submits invoices for payment. This position monitors Conference Center events and reservations and interacts with staff at all levels throughout the organization.
RESPONSIBILITIES AND SCOPE
- Does not supervise any staff, but may help plan and direct the work of temporary workers or volunteers.
- Duties are performed according to instructions or established practices.
- Limited financial responsibility.
- May purchase supplies and equipment as provided for in budget and in consultation with supervisor.
- May serve as team member for assigned work teams.
- Supervisor will resolve any problems or questions.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work overtime as needed.
DUTIES
- Open/close main lobby and switchboard every day.
- Distribute and track Visitor access cards.
- Update phone list, volunteer list, floor plans, and team calendar.
- Order supplies for Office Services team.
- Submit and track work orders for building engineers.
- Track and order replacement keys for workstations.
- Assist Director of Office Services with projects as assigned.
- Experience using MS Office (Word, Excel), and navigating the Internet.
- Experience providing administrative support, including phone/customer service and drafting correspondence.
- Experience working and communicating with a wide range of people.
- Experience writing, editing, and proofreading written materials.
DESIRED QUALIFICATIONS
- Experience managing diverse activities to meet deadlines.
- Familiarity with SharePoint and Adobe InDesign.
- Familiarity with standard business communications.
- Excellent “customer service” skills and focus.
- Some college or higher education preferred.
- Strong organizational skills and attention to detail,
