Director of Finance and Grant Management

This position is responsible for managing the financial, accounting and grant functions of Big Brothers Big Sisters of Alaska and For the Kids Foundation. This includes managing accounts payable and receivables, semi-monthly payroll, generating periodic financial reports as well as grant proposals and reports, supervising the accounting clerk and other duties including but not limited to the essential duties and responsibilities listed below.

Areas of Responsibility: 

Finance

  • Oversee the management and maintenance of BBBS financial system ensuring accuracy and timely financial reporting.
  • Supervise the accounts payable activities ensuring that Big Brothers Big Sisters of Alaska stays current on all vendor obligations while maintaining cash flow.
  • Monitor bank deposits and transactions and ensure bank accounts are reconciled by the 20th of each month.
  • Prepare financial records and audit work papers for annual audit.
  • Ensure income and expense reports and cash flow projections are produced in time for finance committee meetings.
  • Develop annual statewide and local budgets in conjunction with CEO.
  • Provide financial charts and graphs for annual reports.
  • Serve as support staff to finance committee and various other committees as needed.
  • Review and code all payables.

Human Resources

  • Review time sheets and submit to Avitus for payroll processing by Avitus each pay period.
  • Review payroll reports for accuracy, calculate payroll allocation for grants and post payroll to QuickBooks.
  • Administer 403B Retirement plan.

Grants Management

  • Determine eligible grant expenditures (i.e. payroll) and code to grants accordingly.
  • Financial reporting for all grants.
  • Work closely with CEO and Vice President of Programs to monitor grant goals, activities, and expenditures.
  • Assist with preparation of grant proposals, provide budgets.
  • Monitor agency grants for fiscal compliance and performs all necessary reporting for agency’s government grants within deadlines.
  • Submit all grant invoices, financial reports, and budget revisions.
  • Ensure grant reimbursements are submitted in a timely manner, follow up with grantees.

Other

  • Oversee gaming permit and necessary reports for the annual audit.
  • Submit gaming permit renewals annually.
  • Submit necessary sales tax payments.
  • Management of donor pledge process.
  • Assist with travel arrangements (i.e. calculate per diem).
  • Renew business licenses and submit bi-annual reports.

All other related duties as assigned.

Educational Background: 
Bachelor degree required. CPA or Master’s Degree preferred.Five years of progressively responsible, professional accounting experience. Experience with federal, state and local grant administration. REQUIRED SKILLS AND ABILITIES Agreement and endorsement

  • Proficiency in technical areas such as Microsoft OFFICE, QuickBooks and able to manage office equipment (phones, faxes, copiers, computers, etc.)
  • Ability to represent Big Brothers Big Sisters in the community in a positive and professional manner.
  • Integrity.
  • A sense of humor.

  • Routine office environment Satellite Office/Location

PHYSICAL DEMANDS

  • Ability to sit in meetings for long periods of time. Ability to work effectively using a personal computer for long periods of time.
