Job Title: EMEA MARKETING AND CHAPTER RELATIONS ASSISTANT- Part-Time, US Based- Hybrid

Position Summary
The EMEA Marketing and Chapter Relations Assistant supports the efficient execution of our institutionally driven strategy with the goal of promoting awareness of the CAIA designation and establishing the CAIA Association as the educational standard in the industry. The Assistant will efficiently optimize internal processes by liaising with EMEA Chapters, planning and coordinating events with CAIA’s academic and associations network, implementing traditional and social marketing methods, and contributing to defining the overall strategy for conferences. The candidate will be part of a cross-functional team and will coordinate with Global Business Development, Chapter Relations, Marketing, and Candidate and Member Relations to contribute to saving costs and achieving optimal integration and communication across departments. Leveraging synergies with the US CAIA Office and offering a local customized service are a part of the mission related to the role.
Essential Functions & Responsibilities
Industry Outreach
- Help to build CAIA’s outreach with Association Partners and Academic Partners.
- Improve coordination with all constituencies including regulatory, academic, commercial/institutional, industry association, and media/press.
- Work efficiently with various teams to plan and execute conference sponsorships, educational summits, marketing initiatives, media exchanges, and other CAIA Association marketing and program events.
- Handle coordination with vendors, and work on maintaining costs.
- Promote the efficient delivery of marketing collateral and gift premiums including managing budget items, purchasing requests, and obtaining necessary approvals as required.
- Coordinate events including event management, promotions, invitations, social media posts, and onsite event logistics.
- Coordinate and track materials logistics for all conferences and Chapter events up to 8-10 weeks out and troubleshoot as needed.
Chapters Relations
Work closely with volunteer leaders in 12 EMEA chapters (including an Emerging Chapter in the Middle East), acting as a point of contact and providing timely and efficient support.
- Help in executing the chapters’ strategy for Events (drafting of invitations, securing venues, etc. as necessary).
- Optimize and maintain relations with CAIA’s institutional sponsors.
- Monitor, assess, and report on chapter activity within the region.
- Maintain chapter records, including contact information, volunteer agreements, and website updates.
Marketing & Social Media
Work closely with the Director of Marketing to support EMEA-focused marketing efforts.
- Establish relationships with regional media outlets and public relations firms.
- Help ensure the execution of timely and relevant social media posts across multiple platforms. Responsible for hands-on interaction within social media presences (Facebook, Twitter, LinkedIn, etc.).

The successful EMEA MARKETING AND CHAPTER RELATIONS ASSISTANT will have the following:
Education & Experience:
- Bachelor’s degree preferred and two (2) years of relevant professional experience.
- Flexibility with working hours.
Specific Skills:
Ability to work and adapt to a multicultural European team.
- Passion for data, marketing, and interest in finance.
- Languages: German is a plus but not required.
- High attention to detail.
- Excellent project management skills; extremely well organized with attention to detail as well as follow-up and follow-through.
- Self-motivated, takes initiative, and is comfortable working on multiple projects at a time with the ability to prioritize, as needed.
- Ability to work independently on assigned tasks, accept directions on given assignments, collaboratively with colleagues and exhibit strong teamwork.
- Outstanding communication skills and customer-service focus.
- Demonstrated ability to solve problems and improve processes.
- Knowledge of media relations and social media.
- A creative thinker and a dedicated team player.
- Skilled in MS Office, Zoom, and Teams.
- Able to manage direct mailing platforms, CRM.
- Ability to work well independently as well as collaboratively.
This role is hybrid, based in the US, part-time 20 hours a week.
