You may be asking yourself how does a Receptionist / Administrative Associate make an extraordinary impact? Great question! Well, this position will be working at our reception area answering phones and providing assistance to the public as well as provide direct administrative support to our Vice President Development in our Houston office and occasionally other managers. Our hard working staff can’t do the vital work they do without the help of a great person, preparing documents and reports, maintaining records and coordinating meetings, plus any other assigned work. This position may also work with our volunteers who help with events throughout the year, so we are looking for a great multi-tasker who can do it all with a great attitude and who likes to work in a busy environment.

Areas of Responsibility: 
  • Provides frontline customer service to internal and external customers by answering questions, providing information, directing calls, and locating appropriate staff members.
  • Perform basic clerical duties including mail distribution; copying; filing; and fax receipt, tracking, and distribution; may assist with making travel arrangements.
  • Prepares correspondence, certificates, labels, envelopes, and/or forms.
  • Maintains files and records as assigned.
  • May perform basic data entry.
  • Assists with administrative projects and duties as requested.
  • Assist with scheduling appointments, organizing appropriate meeting materials, and assisting with other projects as needed.
  • Assists with data entry and filing; enters, verifies, and retrieves data from automated information databases.
  • Assists in planning special meetings and events.
  • Performs related work as assigned.
  • Support Vice President of Gulf Coast with various projects, expenses and other assigned duties.
  • Back up the Finance Administrative Associate as needed.
  • Managing meeting spaces and kitchen.
  • Handling of office supply orders.
Educational Background: 
High school diploma or GED equivalent required.
Skills/Experience: 
  • Minimum 1 year office experience.
  • Must be proficient using Microsoft Office 2013 (Word, Excel, Outlook). Will be tested
  • Ability to lift 20 lbs from ground to waist level with or without reasonable accommodation.
  • Must be at least 18 years old.
