ESSENTIAL DUTIES

  • Hire, coach, supervise and evaluate Health Center Managers.
  • Develops, mentors and coaches health center managers in performance management, change management and staff development in building a creative, innovated, service-oriented, big picture culture. Builds and reinforces a culture where center staff is personally accountable and takes pride in their work.
  • Maintains direct contact with assigned health centers and their center managers– holds Health Center Managers accountable through regular communication, including regular site visits and staff observations.
  • Accountable for ensuring that trends of underperformance are formally addressed, with clear and documented performance improvement plans.
  • Monitors client volume, capacity and productivity for assigned region.
  • Provides support to Health Center Manager for resolution of handling patient complaints.
  • Assure that Managers effectively manage their financial resources and program budgets. Responsible for profit and loss statements of assigned health center/ region. 
  • Participates in annual budgeting process based on established goals and objectives and provides leadership in the annual planning process to present a plan that will support the region for the fiscal year. Analyzes data monthly and routinely for specific region to ensure that each center is meeting its productivity and financial goals. Communicates any changes that result in budget decisions and leads change efforts in the health center.
  • Work with Medical Director, and other Services Division resource staff to assure that clinical, educational, and outreach services are delivered in manner that is consistent with agency policies, priorities and goals.
  • Promote identification of needs and problem solving within and between area operations and other PPMM departments. Identify areas to integrate and works interdepartmentally to improve program management, clinic operations and systems.
  • Oversee implementation of multiple projects/programs within the area.
  • Promotes strong community presence in designated regions as Planned Parenthood creates partnerships with community organizations that can help Planned Parenthood tailor education or clinical services to meet the needs of specific populations to support services, referrals and programs. Assures that relationships with area funders, collaborative partners, school districts and other community representatives are developed and maintained to support services, referrals.
  • Work with PPMM training staff and other departments to ensure that staff is trained and  understands and complies with organizational protocols including the medical standards and guidelines, risk management and safety procedures, regulations regarding patient rights, HIPAA Requirements, regulations regarding mandatory reporting, infection control protocols, CLIA, billing and coding practices and OSHA safety standards.
  • Contribute as a member of the Services Division Management team, and contribute to affiliate wide initiatives to improve the delivery and quality of medical services.
  • Maintains positive employee relations including proactively addressing potential employee concerns/problems. Provides support to Health Center Manager for resolution of problems arising from staff-related issues and handling patient complaints. Engages with HR if resolution is not possible.
  • Provides management support for Title X, as appropriate, and works with Title X Director to ensure compliance.
  • Collaborates with Public Affairs, Community Relations, Development, Education and Marketing Staffs to create synergy across departments thereby optimizing demand for health services.
  • Collaborates with the Director of Revenue Cycling for metrics and compliance with billing best practices and procedures. Assure that financial, service statistics and billing data are completed accurately and in a timely manner.
  • Accepts individual and joint responsibility for, and the efforts to achieve health center annual goals regarding number of patients served, patient waiting time, appointment show rate, accuracy in the execution and recording of patient payments, customer satisfaction etc.
  • Develops, implements and leads new initiatives as directed by VPPS.
Areas of Responsibility: 

NON-ESSENTIAL DUTIES

  • Provides management of staff and center in absence of vacancy of Health Center Managers.
  • Represent Managers or local programs to state agencies and other entities when needed.
  • Assists development staff with grant-related activities including reviewing grant applications and providing timely data and information for grant reports.
  • Perform other duties and special projects as assigned. Duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
Educational Background: 
Bachelor’s Degree in related field required
MBA or MPH, preferred
Skills/Experience: 

QUALIFICATIONS

Ability to perform the duties described above. A typical means of acquiring those abilities would be:

  • Minimum 3 years’ experience supervising managers.
  • 5+ years relevant experience in healthcare site management. Multi-facility operations experience preferred.
  • 2+ years’ experience with functional knowledge in patient centered workflow and process improvement.     
  • Experience in implementing and evaluating operational and strategic plans and leading significant and diverse operations in the healthcare service industry.

  • S/he must be willing to work flexible hours including evenings and weekends. Must be able to travel within and outside organization region as the job dictates. 
  • 30%-50% travel.
