The American Heart Association (AHA) has an excellent opportunity for an Development/ Event Specialist who will support the Heart Ball event. This includes coordinating all logistics and associated meetings and events, recruiting, training and managing large groups of volunteers, communicating with top level volunteers and sponsors regularly, ensuring all databases and tracking documents are up to date and completing other administrative duties as assigned. Additionally, Event Specialist will support theGala Director in development efforts through the territory. The overall objective and driving force for this position is to focus on a high level of customer service and satisfaction which will in turn contribute to customer retention and an enhanced donor and volunteer experience.
- Coordinating all logistics for Heart Gala and related events (i.e.. Holiday event) and meetings. This includes venues, permits, vendor negotiations, contracts, in-kind contributions, participant activities, event marketing and promotion, participant communications, collateral materials, day-of direction and management, etc.
- Recruiting, training and managing logistics volunteers. Building relationships with logistics volunteers and providing consistent communication to ensure volunteer retention.
- Data entry utilizing Kintera, Blackbaud software
- Managing participant and volunteer communications through e-mail campaigns and social media
- Compiling and updating event related financial spreadsheets and statistics for territory.
- In addition, this position participates in financial processing for the entire Metro Birmingham team on a weekly basis.
- Administrative duties such as creating and preparing correspondence and meeting documents, making calls to schedule meetings, etc.
- Supporting all development efforts in the territory such as Heart Walk sponsor and team recruitment, management and stewardship.
- Willingness and ability to travel within the designated market on a routine basis.
- 1+ years of prior administrative and event planning and/or non-profit experience
- Ability to prioritize and handle multiple tasks, managing multiple territories simultaneously
- Attention to detail and drive for excellence
- Ability to recruit and train large groups of office and day-of-event volunteers
- Excellent verbal and written communication skills
- Excellent computer skills (Word, Excel, PowerPoint)
- Ability to work independently and sometimes irregular hours
- Ability to lift 20-30 pounds
- Willingness and ability to travel throughout the designated market on a frequent basis.
