The Donor Services Coordinator administers the Salesforce database and serves as the primary contact for all associated issues and questions. This essential role ensures the accurate and efficient management of the organization’s database and information flow processes. The position oversees accurate gift entry; manages gift acknowledgement and benefit fulfillment; and is responsible for overall data integrity and accuracy.
Areas of Responsibility:
- Analyze Habitat Charlotte business practices and constituency; manage Salesforce system-wide changes and customizations for improved effectiveness and constituent engagement.
- Collaborate with Habitat Charlotte staff members to translate business requirements into Salesforce features, functionality, and processes.
- Create and generate detailed reports, queries, exports, and lists, including mailing and donor-recognition lists, continually improving data selection and tracking.
- Generate gift receipts and acknowledgment letters, and provide excellent customer service to donors by answering/routing inquiries.
- Produce timely monthly financial reports showing progress to year to date goals in each area of fundraising, KPI and organizational Dashboard reports, including analysis to help with decision and strategy to make goals.
- Monitor Salesforce data quality and integrity through auditing, cleansing, and de-duping data.
- Serve as the staff resource for database technical support and training. Work with database vendor to resolve system issues and coordinate additional staff support and training.
- Create and maintain donor lists for newsletters, annual report, e-blasts and other communications.
- Work with the Volunteer Manager to integrate, maintain, and utilize volunteer data.
- Respond to Salesforce help tickets in an efficient manner.
- Oversee gift entry and reconciliation with accounting department.
Educational Background:
College degree or equivalent.
Skills/Experience:
- 3-5 years of experience working with or direct oversight of donor database software (Salesforce or Raiser’s Edge, preferred).
- Communication skills and experience interacting with multiple constituencies.
- Flexible and responsive to accommodate changes, while maintaining confidentiality of donor information.
- Enthusiasm for teamwork, accuracy, initiative, and critical thinking.
- Ability & maturity to work on multiple tasks simultaneously and prioritize appropriately.
- Detail oriented with excellent organizational and time-management skills.
- Proficiency in Microsoft Office applications.
