Under the supervision of the Chief Development Officer, this position will assist in a variety of ways to ensure the smooth, collaborative, and cohesive functioning of the Development department. As such, this role requires access, availability, and attention to detail as dedicated support will allow the CDO to focus more time on managerial oversight and fundraising responsibilities. The position operates within Crazy Horse Memorial Foundation established policies and procedures and is responsible for confidential administrative support of the CDO. In addition, this role plays a pivotal function with Development Programming and will assist with event planning, project management, internal department communications as well as coordinate with other Development staff regarding prospect research and other work deliverables. This position will also collaborate with the CDO and staff of the Indian University of North America® in developing and implementing a cohesive stewardship program for scholarship donors.
Major Functions:
- Provide Support to the CDO.
- Assist in ensuring smooth, collaborative, and cohesive functioning of the Development Department.
- Support CDO and department by acting as a liaison to collaborate and communicate with other departments, especially Central Office.
- A wide range of administrative, project management and general office duties to ensure timely and accurate completion of projects that enhance the efficiency and effectiveness of CHMF in achieving its Mission.
Position Responsibilities:
- Effectively serves as an assistant to the CDO by completing assigned projects and accomplishing desired results in a timely manner while maintaining a high level of confidentiality.
- Maintains a thorough knowledge and understanding of the Crazy Horse Memorial Foundation’s mission and goals and adheres to all established policies and procedures.
- Demonstrates thorough knowledge of the programs, organizational structure, and the scope of responsibilities of the Development department and the Foundation.
- Assist the CDO in organizing and maintaining their calendar by tracking commitments and making arrangements.
- Maintains a production calendar for the department, sets up conference and video calls at the CDO’s request, coordinates meetings and takes minutes, and helps CDO with travel arrangements and preparing for meetings when needed.
- Helps CDO manage portfolio of prospects by entering activity completed and other key information into Raiser’s Edge (donor database) as well as preparing and sending out communications and materials from the CDO to said prospects.
- Prepares the CDO’s monthly expense report and reviews other expense reports from department staff for accuracy and adherence to Foundation’s travel and expenditure policies for CDO’s approval.
- Drafts correspondence to donors and other key stakeholders from the CDO or for Senior Executive Team signature, drafts presentations or other materials at the CDO’s request, and helps proofread all materials produced by and/or for the Development department.
- Assist with event planning and logistics, project management, internal department communications.
- Coordinate with other staff in the preparation of prospect profiles, briefings, and other work deliverables.
- Collaborate with the CDO and staff of the Indian University of North America® in developing and implementing a cohesive stewardship program for scholarship donors including coordination of proactive information flow and decision-making to assure all aspects of the scholarship award and donor stewardship cycles are executed effectively.
- Assist in the handling of phone and email inquiries/responses directed to the CDO.
- Complete assigned projects within guideline parameters and deadlines.
- Other duties as assigned.
Essential Functions:

- Must be highly organized and have the ability to perform multiple tasks simultaneously.
- Must be able to meet project deadlines.
Required Education/Experience/Competencies:
- Bachelor's degree required; one in Business Management or Marketing preferred.
- Minimum of 3 years of relevant experience or combination of experience and education. Experience in Development and/or a Non-Profit setting strongly preferred.
- Thorough knowledge and skill of Microsoft Office Suite, Microsoft Outlook and office equipment (copier, scanner, fax machine, etc.). Experience with a CRM or donor database such as Raiser’s Edge preferred.
- Effective organizational and time management skills.
OTHER FUNCTIONS: Participates in developing department goals, objectives, and systems. Participates in development staff meetings, organization-wide meetings, and training programs, and attends other meetings and seminars as designated by the supervisor. Assists in evaluation of reports, decisions, and results of department in relation to established goals. Performs other related duties as required and assigned.
The salary range for this position annually is commensurable with experience.
