Specialist, Award Metrics and Closeout

This position will work across departments in International Programs to assist with Award Management Performance Improvement. In collaboration with Business Team Award Managers, Finance, and Grants and Contracts staff, the Specialist will track and communicate key award management metrics, and lead process improvement to drive change. In addition, the Specialist will have a specific focus on monitoring close out progress, advising on more complicated close outs, and developing any identified process improvements to ensure active awards are closed within the target date going forward.

Areas of Responsibility: 

H/she will work collaboratively with Award Managers, Grants and Contracts staff, Country Offices, Global Finance, Save the Children International, and Save the Children Members to collect the necessary information required to support close out activities.  The Specialist work with stakeholders to ensure donor and agency close out compliance requirements are observed.

  • Exercise independent judgment and discretion on significant matters related to functional area

Serve as main point of contact and support within IP on Award Close out Process.  (30%)

  • Provide as needed day to day follow up to support the IP Business Team Award Managers
  • Serve as the central contact for information and training on the close out process, to include individual and group trainings
  • Support IP Award Managers on award analysis for more complicated award closeouts, and assist in the development of solutions to move process forward and coordinate next steps between teams
  • Responsible for maintaining Close out Manual and Close out Section of the Award Management RACI to ensure all guidance is up to date and process improvements are made as needed

Track all Award Management Metrics, and initiate process improvements. (60%)

  • Maintain close out tracker by IP Business Team and metric dashboard
  • Develop and maintain Award Management Metrics Dashboard, to include key metrics data by IP Business Team on closeout, spend, match fulfillment, fund summary activation, on-time reporting to donor and outstanding receivable/liability
  • Provide monthly updates to BTs and agency leadership
  • Coordinate monthly with BT Lead Award Managers to drive progress on metric improvement, initiating continuous improvement projects when appropriate

 Ad hoc projects as needed. (5%)

  • Support Senior Director Budget and Award Management in ad hoc financial and analysis projects as required. Examples of these are those related to CAM and small award management

Close out Member-to-Member Awards in Pakistan and Shared Services Awards. (5%)

  • Support PAK CO on the close out of all Member-to-Member awards, which includes collecting and reviewing all documentation on the AMS record, general ledger review and financial analysis to determine all expenses on SC US ledger match the CO, and ensuring all donor-specific requirements have been met prior to award close out.
  • Participate in monthly call with PAK CO to coordinate and review award close out progress.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • 3-5 years of experience in accounting or related field, including general ledger, financial accounting and/or close out of awards
  • USG funding experience
  • Proficient and successful in handling multiple competing priorities.
  • Collaborative and problem solving mentality
  • Exceptional analytic and financial problem solving skills
  • Exceptional written and verbal communication skills
  • Ability to work collaboratively, across department and divisions to achieve a common goal
  • Ability to take initiative and work independently as well as part of a team
