Habitat for Humanity International (HFHI) is currently seeking a talented individual for the role of a Executive Administrator. The Executive Administrator will provide full and diversified project and office administrative support, proactively creating systems to efficiently manage the workload of 3 VPs. This self-starter will use his or her extensive experience and interpersonal skills to collaborate and negotiate with all levels of the organization on behalf of the VPs. This position will be based out of the HFHI's Administrative Headquarters in Atlanta, GA.
Key Responsibilities:
- Provide general administrative and technical support: Manage technology, scheduling, and planning of office management needs. In a courteous and timely manner, assess and categorize level of importance of incoming phone calls, emails and mail to determine which of those should be escalated to Vice President or reassigned to other members of VP's team.
- Respond to phone calls, emails and mail and research additional information as needed.
- Make travel / transportation arrangements, compile reports & data collection. Complete post-travel and general expense reports for assigned VPs. Provide administrative and technical support to entire division/department as needed.
- Plan meetings for VP and division/department: Organize meeting logistics and travel. Coordinate agenda and take minutes for meetings and conference calls. Assist with meeting coordination as needed.
- Proactively assist with projects and special assignments and create systems to effectively manage workflow including writing letters, editing business documents and resources. Maintain accurate records in CRM system on behalf of assigned VPs. Be flexible to take on last minute projects as needed.
- Create systems to manage deadlines and feedback.
- Collaborate with internal and external customers: Positively represent the VP when communicating with all levels of the organization, and with eternal audiences. Garner trust and respect for division/department in order to accomplish goals through superior customer service.
Key Requirements:
- Associate's Degree or equivalent combination of education and experience.
- 5 years in general administrative and technical support.
- This proactive self-starter must be flexible, collaborative, and able to multi task in a fast paced environment. Must have strong organizational skills and extremely high attention to detail.
- Must maintain confidentiality of sensitive issues, and be a problem solver.
- Outstanding people skills and high emotional intelligence in order to proactively anticipate VP's. needs, and interact with all levels of the organization and external customers.
- Needs excellent written and verbal communications skills. The person in this role must be able to articulate clear information to wide range of people. Communications with staff in affiliate and field offices from areas both within and outside the US will be included in this role. Proficient with Microsoft Office Word, Excel, Outlook and PowerPoint.
- Demonstrated ability to learn new software (ie: CRM systems).
- Ability to multi-task and prioritize is important. Must be able to execute tasks within defined timelines.
- Minimum 5 years in an executive administrative assistant or senior level administrative experience. Must be able and willing to work some evenings/weekends and travel as needed.
- Drivers License required.
Preferred:
- Prior experience supporting international travelers.
Beneficial but not required:
- Prior experience supporting philanthropy/sales executives and/or familiarity with sales/giving cycles.
