The American Heart Association has an excellent opportunity for a Special Events Administrator in our Charlotte, NC office supporting the Charlotte Heart Walk Event! This position provides administrative support to area Directors in the logistical coordination and implementation of events sponsored by the Mid-Atlantic Affiliate of the American Heart Association.

Primary Responsibilities:

  • Supports AHA events through the coordination of event logistics to include kickoff meetings and day of event
  • Maintains accurate record keeping, correspondence and mailings, and sponsorship management
  • Meets regularly with area directors and volunteers to maintain open lines of communication to ensure event objectives are achieved
  • Maintains a high level of customer service by responding to customer inquiries both internally and externally in a knowledgeable and timely manner regarding AHA related events
  • Other duties and projects may be assigned to the role, which provide general assistance as needed to support the mission of the American Heart Association
  • Maintains an adequate level of event material inventory
  • Assists volunteers with event management system as requested
  • Maintains event management system on a daily basis including entering in received donations within a 48 hour time period and utilizing the database to create mailings, emails and reports on a regular basis as requested
  • Processes all event related data in event management system and ensure accurate record keeping and reconciliation
  • Effectively and accurately creates and prepares correspondence and documentation in a timely manner
  • Assists in processing of incoming mail and ensures the integrity and security of donor information while adhering to the supports and ensures execution of National and Affiliate policies, procedures, standards, best practices, benchmarks and guidelines

Preferred Qualifications:

  • Strong organization skills and the ability to multi task effectively in an energetic sales environment
  • Excellent computer skills in database programs such as; Microsoft Dynamics, Greater Giving, Blackbaud Kintera or Convio
  • Proficient knowledge of Microsoft suite
  • Accuracy in money handling and basic accounting practices
  • Ability to prioritize effectively and make sound decisions on critical tasks independently
  • Ability to work effectively with a multiple people in different roles and departments
  • Ability to work in a fast paced environment while managing personal workload, adjusting priorities as needed and identifying when additional support, resources or training is needed to insure key tasks stay on schedule
  • Awareness of the overall business functions and the ability to identify potential issues that might impact company productivity or office function and address proactively
  • Understand and support the mission of the American Heart Association

Required Experience
