Summary
The Associate Director, Emergency Response, Finance and Operations, will provide financial support for Save the Children's U.S. Programs (USP), a division within the agency charged with implementing high quality response and recovery support in times of crisis. USP responds to disasters that directly impact children, and through direct fundraising, grants, contracts, and private contributions, helps communities meet the needs of children immediately and throughout their recovery. The Associate Director is responsible for budget holder support, award management, sub-award management, budgeting, financial analysis, accounting, and expense allocation guidance related to emergency preparedness, response and recovery work. He/she will serve as the financial point of contact for an assigned portfolio, and provide additional support on the ground as needed.
What You'll Be Doing (Essential Duties)
- Exercise independent judgment and discretion on significant matters related to functional area
- Objectives and milestones are determined jointly by employee and supervisor and implemented with management support
- Functional based policy and practices exist. Incumbent is provided with the "what", but is most likely to determine the "how"
- Provide information to their Manager or to other Senior Managers so that they can make accurate decisions
- Build effective relationships with peers and managers. Relates well to all kinds of people
Budget Management (25%)
- Support budget holders providing financial guidance and supporting streamlined processes for procurement and operational activities on the ground
- Provide daily updates of the budget trackers during a response
- Provide monthly financial reports including, but not limited to, budget vs. actual reporting, grant spending reports, spending projections, and trends
Award Management (25%)
- Compile donor budget proposals
- Draft invoices and financial reports that ensure accuracy and compliance with donor requirements and internal organization policy
- Store all documents on our award management system
- Monitor grant spend to ensure fair cost allocation
Accounting (25%)
- Ensure proper coding for expense allocation by adhering to the cost allocation matrix
- Perform any necessary coding reclasses
- Perform monthly credit card reconciliation
- Conduct budget transfers to other units for reimbursement for response expenses
- Submit cash projections
- Reconcile intercompany account
- Ensure the GIK is processed properly, booked and posted in a timely manner
Staff Support (25%)
- Provide coding guidance to staff for travel, expense reimbursements, invoice payments, and check requests
- Train staff prior to deployment on conducting finance and operational processes on the ground and provide technical assistance throughout the response
- Prepare employee timesheet allocation guidance and follow up on incomplete timesheets and necessary revisions
- Prepare ad hoc analysis reports as requested
- Assist with event budget preparation and expense tracking
Required Qualifications
- You have a minimum 5-7 years' experience in area of expertise
- Bachelor's degree
- Professional level of technical or managerial knowledge, skills, and experience to manage the operational activities of a unit or team, or provide the technical and management support related to various size programs, grants or projects.
- Experience working on emergency response or humanitarian relief efforts
- Advanced knowledge and hands-on experience with Microsoft Excel and demonstrated ability to apply creative ideas for data compilations

- A creative, self-starter who has the ability to support multiple stakeholders by providing sound financial data and guidance
- Ability to work with staff at various levels, and to demonstrate the importance of upholding financial policies and procedures
- Strong diplomatic, interpersonal, and team skills. An in-depth understanding and problem-solving approach to financial management as it relates to complex, multifunctional budgets.
- Ability to prioritize, work well under pressure and capably handle/juggle multiple tasks within tight deadlines.
