Senior Coordinator, Events--IDEAL program

Led by Save the Children, the Implementer-Led Design, Evidence, Analysis and Learning (IDEAL) activity is funded by USAID’s Office of Food for Peace (FFP) and aims to strengthen the capacity of FFP implementing partners to design and implement effective emergency and development food security activities. The Senior Events Coordinator is responsible for logistical planning and implementation of high-quality, IDEAL events focused on learning and knowledge sharing for food security programming.

The Senior Events Coordinator will work closely with the Knowledge Management Senior Specialist and other key program staff to ensure that IDEAL events (online and in-person) are well planned and of high quality. IDEAL engages stakeholders in peer-to-peer collaborative learning and knowledge sharing through a large variety of both in-person and online events and it is critical that these events run smoothly from inception to post-event follow-up. The Senior Events Coordinator will assist in the planning and coordinating all logistical details for IDEAL events, including webinars, workshops, learning events, stakeholder consultations, and regional knowledge sharing meetings.

Areas of Responsibility: 

Event Coordination and Management (85%)

  • Support planning and implementation of IDEAL international and domestic in-person events, including but not limited to: creating a timeline for each event, procurement of venue, registration management, planning for all on-site logistics, preparing and disseminating communications to participants, contracting additional support services, production of meeting materials, event set-up, day-of facilitation support, and post-event tasks
  • Support planning and implementation of IDEAL online events, including but not limited to: creating a timeline for each event, setting up the online platform, registration management, coordination of speakers, running and sometimes moderating events, and post-event tasks
  • Support the IDEAL Associate Awards with webinar production and in-person events as needed
  • Respond to event and meeting inquiries and provide the highest level of service to IDEAL stakeholders

Communications and Knowledge Management (15%)

  • Assist in improving IDEAL’s knowledge management systems, including metrics tracking and contact database
  • Support other IDEAL communications and knowledge management activities as assigned
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • Minimum 3-4 years' experience in event management
  • Demonstrated ability to think creatively and practically to develop, execute, and implement medium to large-scale face-to-face meetings and participatory learning events
  • Experience running webinars, preferably using Zoom and/or Adobe Connect
  • Proven project/event management skills, and ability to work with diverse and high skilled personnel in fast-paced team environment
  • Excellent oral and written communication skills in English
  • Intermediate to advanced skills in Microsoft Office applications, primarily Word, Excel, and PowerPoint
  • Highly collaborative team player with willingness to pitch in as needed and ability to work on tight deadlines at times
  • Willing and able to travel up to 40% of the time - primarily internationally

Preferred Qualifications

  • Bachelor’s degree in relevant field
  • Ability to conduct business in French
  • Experience working in a developing country in international development or emergency programs
  • Familiarity with US Government-funded projects, particularly USAID
  • Familiarity with food security programming
