The American Heart Association (AHA) has an excellent opportunity for a Mission Advancement Specialist in our National Center office located in Dallas, TX .

The Mission Advancement Specialist is responsible for performing administrative duties that are critical to a high functioning team. This includes preparing correspondence, agendas, meeting PowerPoints, and reporting support as needed. You will need to maintain the utmost levels of professionalism, organization, and collegiality. Additional responsibilities include managing conflict free calendar and travel for the National Vice President of Mission Advancement Grants & Operations, managing expenses for the team, managing the BB CRM donor database, and organizing/sorting information spreadsheets and special projects as assigned.

Essential Job Duties:

  • Provides administrative support to National Vice President, Mission Advancement Grants and Operations and corresponding team which may include appointment and travel scheduling and processing travel and expenses, maintaining calendar, SharePoint maintenance, meeting notes and logistics support professional development workshops or related planning and logistics.
  • Acts as BBCRM Power User to support BBCRM Pipeline and Moves Management Updates, generate reports and exports.
  • Maintains log of proposals submitted by Mission Advancement staff, maintains electronic filing system for retrieval of historical proposal and donor records.

Required Experience

  • High School Diploma or equivalent
  • Three (3) years of administrative experience working in a nonprofit, hospital, academic institution, law firm, or corporate environment.
  • Intermediate to advanced experience (such as record navigation and look up, using dashboards, running reports without supervision, and ability to support others’ use of) relationship management software, such as BBCRM, Blackbaud, Dynamics, Raiser’s Edge, or SalesForce.
  • Demonstrated experience in office equipment, management procedures, scheduling systems and file maintenance.
  • Experience in planning and implementing meetings and small to mid-size events.
  • Intermediate experience (such as formatting, sorting, creating) with Excel spreadsheets, Word including mail merge, correspondence, and agendas.

  • Knowledge of the philanthropic landscape.
  • Previous experience working with high net worth donors
  • Project management and SharePoint experience.
