Executive Assistant, Policy and Humanitarian Response Division

This position provides principal administrative and programmatic assistance to the Vice President, Policy & Humanitarian Response (PHR), maintains the VP’s schedule on a regular basis, coordinates communication and information-sharing within the division and among other SMT members in the agency, drafts Op Eds, presentations and conducts research as assigned, manages line items for the VP’s travel budget, coordinates all logistical arrangements for the VP’s domestic and international travel, and provides project management support for the Every Last Child Campaign Core Group and additional ad-hoc support as assigned.

Areas of Responsibility: 
  • Manage the Vice President’s Schedule and Travel Arrangements (25%): Provide administrative support to the VP. Organize and maintain the VP’s calendar; coordinate VP and divisional/departmental/SC movement/external stakeholder meetings; make travel arrangements for all domestic and international travel.
  • Develop, Review and Organize Briefing Material for the Vice President (30%): Prep the VP for meetings, travel and visits by international colleagues and external stakeholders, by compiling input and briefing materials, and reviewing for responsiveness and completeness. Maintain and organize files for major projects undertaken by the Vice President, such as development of our international campaign, restructuring of advocacy and campaigning across the SC Movement, coordinating with policy and program teams. Coordinate with the Office of the President, and organize meetings and visits with outside visitors and Save the Children International and SC Member representatives.
  • Facilitate communication and information sharing within PHR Division, other SCUS departments and SCI (20%). Provide project support for monthly PHR Senior Management team meetings. Serve as SaveNet editor/coordinator for the division and coordinate with the DHR and PPA support staff on organizing information. Maintain VP’s email groups, staff lists and other information tools.
  • Draft Op Eds, presentation decks and conduct research projects (10%). Draft periodic Op Eds and blogs for VP. Create and update VP’s presentation decks for internal meetings as well as with external stakeholders, fundraising targets, as necessary. Conduct research projects for the VP, as assigned.
  • Project Support for Every Last Child Campaign Core Group (10%): Support PPA Senior Director for Development to manage development and execution of SCUS contribution to SC Movement global priority campaign on girls and children affected by conflict, including weekly meetings, action follow up, KPI consolidated reporting.
  • Provide general support to the division (5%): Other duties as required to support the functioning and/or activities of the PHR Division.
Educational Background: 
High school with 2-3 years' administrative experience 
Skills/Experience: 
  • Detail-oriented, organized, proven business administration skills
  • Demonstrated project management skills; able to juggle multiple projects and assignments
  • Strong oral and written communication skills
  • Proactive, initiative taker
  • Strong interpersonal skills
  • Team player in a fast-paced environment
  • Research and analytical skills, able to use internet search engines and Congressional/government websites
  • Knowledge of database management; Proficient in Microsoft office Suite

Preferred Qualifications 

  • Experience in congressional office, NGO, think-tank or Executive Branch is a plus;
  • Interest in international affairs and development
