The American Heart Association office in Jacksonville, FL.has an exciting opportunity for an Event specialist. This position will focus on administrative support for assigned fundraising events in Jacksonville. Responsibilities will include database management, financial reporting, and administration of the American Heart Association’s field fundraising activities.
Areas of Responsibility:
Administrative and data management:
- Data entry into internal database systems; preparing correspondence and spreadsheets; informational materials and reports;
- Tracking and reconciling event financials; accountability and upkeep of sponsorship agreements; executing and tracking donor acknowledgement process;
- Upkeep and accuracy of donor information;
- Maintenance of event websites;
- Supporting fundraising directors in meetings and at events as needed (i.e. meeting minutes, administrative support).
Event support:
- All venue and vendor negotiations and agreements.
- Budget management - Tracking Direct Expenses for Fiscal Year and End of Year across all events.
- Collateral and communications timing and schedule - Driving overall collateral timelines and deadline management.
- Sponsor activation as it relates to event logistics.
- Work with event leads to achieve their overall look and feel of the events.
- Work with event leads to help with all design elements of the event; this includes the creation of print and digital marketing collateral – signage, invitations, etc.
- Work closely with Heart Walk Vendor on all specific walk logistics.
- Volunteer committees as they relate to event logistics.
- On-Site Volunteer management.
In this role, you will serve as secondary Affiliate Accounting Liaison, which includes:
- Ensuring all funds raised in support of the mission are able to be recorded and payments are received by due dates;
- Ensuring accuracy, execution, proficiency and adherence to the latest policies and practices of the AHA as they relate to fiscal and event financials; understanding and communicating to local staff the process for sponsorship agreements, vendor contracts, vendor payments, and event reconciliation;
- Ensuring accuracy, execution and adherence to latest policies and procedures of the AHA as they related to processing mail contributions and bank deposits.
Educational Background:
High School Diploma/GED, Bachelor's Degree (or equivalent combination of education and experience) preferred
Skills/Experience:
- 2+ years of significant office experience preferably with a non-profit or public service organization
- Ability to prioritize and handle multiple tasks, managing multiple territories simultaneously
- Attention to detail and drive for excellence
- Knowledge of principles and procedures of project management
- Ability to plan work, organize and maintain workflow
- Excellent verbal and written communication skills
- Ability to work with people at all levels and maintain effective interpersonal relationships
- Advanced skills in Word, Excel, Power Point and Outlook are required
- Ability to work independently and outside standard hours as needed
- Ability to lift 20-30 pounds
