The American Heart Association has an excellent opportunity for a Project Coordinator in our Marketing and Communications department based out of our National Center office located in Dallas, TX!

This role will provide administrative and project coordination support for the Marketing Communications & Public Relations and News Media Relations teams within the National Corporate Communications department.

Major responsibilities on behalf of their supervisors will include managing calendars, expenses, and meeting and event logistics, as needed. In addition, this role will be responsible for coordinating the media duty on-call schedule and supporting the preparation of meeting agendas for recurring internal and external team needs, inclusive of taking minutes.They will often be charged with handling sensitve and confidential information related to the staff of senior members of the team.

Areas of Responsibility: 

Major responsibilities on behalf of the teams will include: managing the legal and procurement review processes for supplier agreements, answering/triaging media calls (shared responsibility), coordinating the intra-dept abstract selection process, creating and maintaining metric reports (media coverage reporting) for various initiatives, monthly budget reconciliation and processing of POs and invoices. Other responsibilities will include:

  • Administrative support for two Vice Presidents and other senior team members
  • Project coordination support for various initiatives including metric/media reporting
  • Budget tracking and management of supplier legal and procurement processes
  • Coordinate and monitor project timelines while effectively communicating project needs and related information as required
  • Communicate with client base to organize and manage assigned projects/events. Recruit staff and/or volunteers for participation, coordinate with vendors, or perform on-site set-up and logistics coordination
  • Assists with marketing efforts which may include updating on-line content, distribution of marketing materials, or vendors/contractors/volunteer
  • Utilize vendor and/or AHA systems (e.g. E1, COI, Seibel, Oasis, etc.) efficiently and competently to complete duties/projects
  • Evaluates and maintains information and accurate data for compliance requirements or internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations
  • Provides coworkers, volunteers, and vendors with excellent customer service responding to requests in a timely manner and adhering to deadlines as appropriate
Educational Background: 
High School Diploma or equivalent
Skills/Experience: 
  • Two (2) years of experience in project coordination
  • Two (2) years of basic accounting process experience
  • Demonstrated ability to prepare written and presentation communications
  • Demonstrated customer service skills

Preferred Qualifications

  • Two (2) years of experience in event or meeting planning
  • Some college or BA in Communications, Business, Marketing or related area
