Event Support Coordinator

The American Heart Association (AHA) is recruiting to fill an opening for an Event Support Coordinator who will provide logistical and administrative support for the NYC Go Red for Women® Luncheon, STEM Goes Red, the NYC Heart and Stroke Ball, and the Young Professionals Campaign.

Areas of Responsibility: 
  • Manage logistics for special events including securing vendors, in-kind donations and services, coordinate facility layout and day of event set-up with event manager;
  • Responsible for creation, compilation and production of all event support materials; event data entry and management; and mailings/email campaigns for events;
  • Coordinating arrangements for meetings and conference calls of staff, volunteer groups, and others;
  • Coordinating local Wear Red Day rallies- including visiting sites as needed.
  • Solicit vendors for Go Red Luncheon auction items;
  • Works as a member of the field operations administrative support team to insure coverage of all daily business functions
  • At peak times, working extended hours, including evenings and weekends.
  • Secure and finalize contracts for event venues, AV, catering, musicians etc.
  • Account management of various projects including pro bono PR company

In this role, you will be based in our NYC office and will report to the Senior Director Go Red for Women. You may support two or more fundraising directors in the NYC market.

Educational Background: 
A college degree or some college preferred, at least a high school diploma or GED is required;
Skills/Experience:

  • advanced skills in Word, Outlook, Excel and PowerPoint are required;
  • strong database management experience;
  • experience in administrative support that includes simultaneously supporting multiple directors and/or fundraising events;
  • able to work in a fast paced, time sensitive environment;
  • able to multi-task and organize a heavy workload with minimal supervision;
  • possess excellent problem solving, above average communication and customer service skills;
  • convey a positive and professional image;
  • ability to compose correspondence in a professional and visually appealing manner;
  • must be willing to travel to events and meetings as needed in support of the fundraising initiatives;
  • must be willing to work outside of standard hours as needed, including weekends in support of events.
