Coordinator, Planned Giving and Trustee Relations

The Coordinator, Planned Giving and Trusee Relations will provide all necessary administrative support to the Planned Giving team and the Senior Director, Board Relations. The individual will have a variety of responsibilities and support different projects with great opportunities to learn about and contribute to the work of Save the Children.

Areas of Responsibility: 

Provide administrative assistance and support to the Senior Director, Trustee Relations (50%)

  • Maintain Board contact list and annual schedule of Board and committee meetings. 
  • Handle travel arrangements for Senior Director and expense reimbursements.
  • Assist with the schedule of meetings with Trustees.
  • Collaborate with the Office of the President on Board communication and activity. 
  • Help Senior Director, Trustee Relations prepare for Board meetings.
  • Assist with briefs for meetings/calls with Board members. 
  • Handle details for domestic and international field visit trips, including tracking reservations, obtaining visas, working with country officers regarding itineraries, preparing briefing books and pre-trip safely guideline and pre-departure information for travelers.
  • Assist with Board mailings and help streamline the Board nomination process.
  • Assist in management and distribution of information to the Board of Trustees.
  • Assist with salons, galas and other events, when the Board is involved. 
  • Oversee the acknowledgement and receipting process for all Trustee gifts. 
  • Update donor records in donor database for all members of the Board of Trustees, and related documentation for all of these parties, including updating address and contact information. 
  • Carefully review and track contributions provided by Board members. 
  • Establish system to ensure that all Board requests receive prompt follow up. 
  • Perform other job duties as required.

Provide administrative assistance to the Planned Giving team (50%):

  • Manage Planned Giving mailings to the prospect pool, planned gift donors and friends which includes regular updates, holiday cards mailings, newsletters, and special appeals.
  • Assist with development of materials for senior management meetings, donor meetings and additional high value meetings as needed.
  • Help draft presentations as needed.
  • Coordinate marketing outreach while working cross-departmentally within Resource Development.
  • Compile, initiate, and logically format statistical data and reports of planned gifts.
  • Develop a strong knowledge of and serve as the team point-person for the Resource Development CRM. 
  • Book travel reservations/accommodations, meetings and conference room arrangements as requested. 
  • Handle expense reimbursements.
  • Assist with salons, galas and other events as needed.
  • Perform other job duties as required.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • 2 to 3 years of experience 
  • Highly-efficient administrator with strong time management skills
  • Ability to self-organize, set priorities, handle multiple tasks simultaneously and flexibility to shift priorities as needed 
  • High degree of accuracy and attention to detail 
  • Highly adaptable and flexible; willing to experience a wide variety of people, departments and processes 
  • High level of personal confidence and comfortable working independently 
  • Strong attention to detail including written and visual
  • Experience with Microsoft Excel and comfortable with updating spreadsheets
  • Able to handle and retain large amounts of information 
  • Ability to maintain confidentiality at all times 
  • Creative problem solver 
  • Excellent interpersonal skills 
  • Positive, upbeat personality and calm under pressure
